Health and Safety Fire Procedures
You need to be aware of where all the fire exits, break glasses, extinguishers and assembly points are located. Fire exits must be kept clear and fire doors are clear of obstructions at all times. In the event of a fire, please follow the instructions below:
Your first priority is to raise the alarm
Proceed to the nearest exit and make your way to the assembly point.
Your manager, deputy, or appointed person will put into effect the evacuation procedures and notify emergency services. If they are not available, call the emergency services on 999.
No attempt should be made to tackle the situation yourself if it is putting you or others in danger.
DO NOT finish what you are doing, collect your belongings, use lifts or re-enter the building until instructed

Evacuation
On sounding of the fire alarm and a normal emergency evacuation, our reception will automatically open all portal doors for people to evacuate. If this hasn’t occurred, each Portal can be opened by using the green emergency release button shown on the previous video.Simply lift flap and press button located in centre of panel to open both sets of doors then proceed to exit to your designated assembly point.Please note that if the raid alarm has already sounded, you should follow the relevant procedures for the raid alarm and not attempt to exit until advised safe to do so.Please note, the key and red manual lever are not to be used for evacuation. The lever is there to open a set of doors in the event of someone being trapped in malfunctioning portal. The leisure room outer swing door simply pushes open when the emergency release button has been pressed.There are 2 Fire Assembly Points located at Aurum House. These are clearly marked by signs. When evacuating, please make your way to the nearest assembly point. Please ensure you are aware of the location of the Fire Assembly Points as detailed below:
- Fire Assembly Point A: Located half-way down the front car park
- Fire Assembly Point B: Located at the end of the rear car park

Security Alarm
To differentiate between the Fire and Security Alarms, blue strobe lights & sounders are installed at certain points around Aurum House and the Distribution Centre. The purpose of this is to:
- Have a system in place that swiftly alerts all colleagues to any security incidents taking place.
- Allows all colleagues to quickly identify and differentiate these from any other emergency situations (such as a fire).
- Provide reassurance that if the blue strobes and sounders are activated, the police will have been automatically notified and are on their way.

Security Alarm
Please be aware that in the event of the security alarm being triggered, blue strobe lights and sounders will immediately activate. Following this, harmless smoke will be rapidly deployed from units situated in the Reception and at various locations in the DC. The smoke deployment will then in turn activate the fire alarm system throughout the whole building. If the blue strobe lights & sounders are activated, colleagues should follow the guidance for their relevant area shown on the following pages. If the fire alarm is sounding and NO blue strobes & sounders have been activated, all colleagues should follow the normal Aurum House Fire Evacuation Procedures. Personal accidents If you have an accident at work that results in a personal injury, this should be reported to your Line Manager who will be required to complete an accident form, available on CONNECT. Most roles require colleagues to sit whilst working. Unsuitable seating can cause colleagues to adopt awkward postures which can lead to discomfort, back pain and upper limb disorders. Your Office Chair
There should be at least 55 cm between the computer screen and the user’s eyes. In addition, the screen should be placed directly in front of the user, and not off to one side. The upper part of the screen should be at eye height.. Thighs must be horizontal in the seat, and both feet must be completely supported with free space below the table. Colleagues should take regular breaks to move and stretch, and change positions from time to time. Colleagues should also rest their eyes periodically to preserve their sight. For example, they might focus on objects other than the screen and on distant points.

DSE at The Watches of Switzerland Group
As an employer, The Watches of Switzerland Group must protect colleagues from the health risks of working with display screen equipment (DSE), such as PCs, laptops, tablets and smartphones. The Health and Safety (Display Screen Equipment) Regulations apply to colleagues who use DSE daily, for continuous periods of an hour or more. These colleagues are described as 'DSE users'. The regulations don't apply to colleagues who use DSE infrequently or only use it for a short time.The Watches of Switzerland Group's DSE policy and documents can be found on CONNECT. Alarms & Procedures
Security Alarm - Main Office Procedures
- If the blue strobe lights & sounders are activated, colleagues should remain calm and simply wait at their desks for further instruction from the Incident Marshalls (identified by “high vis” vest and is your Fire Marshall).
- Please refrain from going to the windows or going outside as this may put you in danger.
- Please also do not attempt to enter the reception area, either from the DC/leisure room side or main office side. Wait until further instruction is given by an Incident Marshall. The Incident Marshall’s will notify all colleagues of the situation and of any action to be taken.
- To reiterate, if the fire alarm is sounding and NO blue strobes & sounders are activated, all colleagues should follow the normal Aurum House Fire Evacuation Procedures.
Minor Injuries
If someone is injured at work, whether in the showroom or support offices, and you are the first on the scene, you must follow the instructions below:
- Do not panic; keep calm and assess the situation.
- Send a colleague to get the Appointed Person or a trained First Aider if one is nearby.
- Do not move the person unless you are sure that movement will not worsen their injury.
- Guide the injured person to a quiet area, if they are able to move.
- The First Aider or Appointed Person will treat the injury using the First Aid box in your showroom or office.
- Complete the Accident Form, which can be found on CONNECT.
Fire Hazards and Exits
- Know where your fire exits and alarm points are.
- Know where the assembly point is.
- Keep fire exits clear from obstruction at all times and check daily.
- Know where the fire extinguishers are and how and when to use them.
- Fire extinguishers in designated areas should not be used for any other purpose (i.e., door stop).
- Fire doors should be kept closed and not propped open.
- Immediately report any defects or hazards to your manager.
- Observe the electrical rules for the workplace.
- Only use PAT-tested electrical equipment (that is, electrical items that have a current PAT sticker on them).

Security Alarm - Main Central Office-Sounders
There are also sounders (see picture) located at the central point of each floor, next to the blue flashing light. These will not only aurally alert colleagues who are not in direct line of sight the blue lights, but also alert those who for medical reasons are to avoid looking directly at any flashing lights.
Do's & Don'ts
Do's
- Ask every client about allergies before offering and servving any food or drink.
- Serve only pre-packaged, professionally produced food.
- Know the 14 allergens, and check packaging for clear allergen labelling.
- Keep all food and drink in its original packaging until the client has confirmed it's safe.
- Store food properly (0–7°C for perishables; follow expiry guidance).
- Maintain high personal hygiene: wash hands before and after handling food/drink.
- Maintain clean surfaces before and after food is placed, prepped or served.
- Use gloves or PPE when needed.
- Record temperatures and risks using your site’s Food Safety Management System.
- Complete a Risk Assessment for all food-related activity – both daily showroom use and for standalone events.
Don'ts
- Never serve homemade food — only professionally produced items are allowed.
- Prepare or cook food in-store (unless authorised)
- Do not dispose of packaging before serving – clients may need it for allergen checks.
- Don’t overlook cleanliness – every surface and utensil must be spotless.
- Never assume a client’s allergy status – always ask.
- Use damaged, unlabelled, or out-of-date food.
- Skip your site’s 6-monthly food safety guidance review.
Major Injury
A major injury is a serious physical harm that requires immediate medical attention and may result in long-term health consequences, significant impairment, or disability. These injuries often involve severe pain, deep wounds, fractures, head trauma, or damage to vital organs. Examples include:
- Broken bones (from falls or heavy objects)
- Deep cuts or lacerations (from sharp office tools or glass)
- Concussions (from slips, trips, or falling objects)
- Severe burns (from electrical malfunctions or hot equipment)
- Eye injuries (from chemical exposure or debris)
- Back or spinal injuries (from improper lifting or falling)
- Electrocution (from faulty wiring or equipment)
- Dislocations (from falls or sudden impact)

Hazards and Working Safely
- Use protective clothing and devices when appropriate.
- Clear spillages and leave work surfaces and walkways free from hazards.
- Dispose of waste properly.
- Ensure any dust is adequately cleared from any jobs and work areas.
- Report all accidents or near misses, however small, using the accident report form found on CONNECT. Advise your manager and assist in the investigation if required.
- Do not come to work intoxicated, under the influence of alcohol or illegal drugs, or consume either of these on company premises.
- No smoking is permitted on company premises, except in designated areas.
- Report any violence of any type to your manager.
- Exercise care when working in shared workspaces.

Security Alarm - Main Office-Security Alarm Strobes
Blue strobe lights (see picture) are located at the middle and each end of the main office floors. In the event of a situation where the security alarm has to be manually triggered, the light will flash indicating that an incident (such as a raid) is taking place, most likely in the DC or reception.

- Conduct risk assessments and implement safety measures.
- Ensure proper ergonomic setups for employees.
- Maintain fire safety procedures and emergency exits.
- Provide the required health and safety training.
- Provide Personal Protective Equipment (PPE) for higher-risk environments.
- Provide reasonable accommodations for employees with disabilities.
- Risk assessment information must be supplied for all hazardous products; assessments can be found on CONNECT.
As part of managing health and safety, the Watches of Switzerland Group must control the risks in your workplace. To do this, we need to think about what might cause harm to colleauges and decide what reasonable steps to take to prevent harm. This is known as a risk assessment, and it is required by law for the Watches of Switzerland Group to carry out. You can find these assessments on CONNECT or by using the following button:

DC Procedures
Once aware of alarm activation – Swiftly make your way to a DC safe point. The next slide shows a map of the DC detailing their exact location. Please familiarise yourself with these locations, especially if you need to visit the DC as part of your role. Please also make sure that Safe Point doors are closed behind you to stop the smoke from filling these areas. You should then await further instruction from an Incident Marshall/DC Management.

Slips, Trips and Falls
- Always keep walkways clear.
- Cords and wires must be tidy at all times.
- Clear walkways; no bags or items left in obstructive
places.
- Floor mats should be flat with no curled edges.
- Floor sockets pressed firmly into the floor and not overloaded.
- Kitchens and equipment must be kept clean, tidy,
and hygienic at all times.

Before offering or serving any food or drink you must ask if the client has any allergies. The 14 allergens that businesses must be aware of are:•
Celery
•
Cereals containing gluten, such as wheat, rye, barley, and oats
•
Crustaceans, such as prawns, crabs, and lobsters
•
Eggs
•
Fish •
Lupin
•
Milk
•
Molluscs, such as mussels, oysters, squid, cockles, whelks, and snails
•
Mustard
•
Peanuts
•
Sesame seeds
•
Soya beans
•
Sulphur dioxide or sulphites at levels above 10mg per kilogram or per litre
•
Tree nuts, such as almonds, hazelnuts, walnuts, Brazil nuts, cashews, pecans, pistachios, and macadamia nut When serving any item of food or drink to a client, ensure you keep any packaging so that you can refer to it should the client confirm that they have allergies. Food must not be made within your showroom. Only food that has been professionally produced can be given to clients.
Minor Injury
A minor injury is a non-serious physical harm that does not require urgent medical attention and typically heals on its own or with basic first aid. These injuries cause temporary discomfort but do not result in significant impairment or long-term health issues. Examples include:
- Minor burns (from hot drinks or equipment)
- Bruises (from bumping into furniture)
- Strains or sprains (from improper posture or lifting)
- Small cuts or scrapes (from office supplies)
Alarms & Procedures
Distribution Centre (DC) Procedures - DC Combined Strobe & Sounder
The picture on the right shows a DC combined strobe and sounder. These are located at various key points around the DC. When the security alarm is activated, the blue light will flash and the sounder will emit a pulsing sound. Please be aware that shortly afterwards smoke units will also be deployed and DC visibility will start to diminish.
Reporting
Health and safety accident and incident reporting refers to the formal process of documenting and communicating any unplanned events in the workplace that result in, or could have resulted in, injury, illness, damage, or other loss. This includes both accidents (where harm has occurred) and incidents or near misses (where harm could have occurred but didn’t). The purpose of reporting is to ensure that such events are properly investigated, appropriate actions are taken to prevent recurrence, and legal and regulatory requirements are met. Examples include:
- A colleague slipping on a wet floor and spraining their ankle (accident)
- A heavy item falling near someone but not causing harm (near miss)
- A fire alarm system malfunctioning during a drill (incident)
- An employee suffering repetitive strain injury due to poor workstation setup (accident)
Major Injuries
If someone is seriously injured in your showroom or support office, follow the below instructions:
- Do not panic and stay calm. DO NOT move the person
- Send a co-worker to call the Appointed Person
- If there is no time and you feel they need immediate attention, get a co-worker to call the emergency services on 999
- Stay with the injured person and check to see if they are conscious. Keep talking to them, tell them what is happening and keep them calm if they are conscious. You can look, listen and feel to monitor their breathing if you know how
- If they are able to speak, get their name, address and a telephone number of their next of kin. Get a member of management to contact them if appropriate to do so. What to say depends on the situation. Click the button for a basic guide:

Personal accidents If you have an accident at work that results in a personal injury, this should be reported to your Line Manager who will be required to complete an accident form, available on CONNECT. Your Office Chair
Most roles require colleagues to sit whilst working. Unsuitable seating can cause colleagues to adopt awkward postures which can lead to discomfort, back pain and upper limb disorders. Your Office Chair
There should be at least 55 cm between the computer screen and the user’s eyes. In addition, the screen should be placed directly in front of the user, and not off to one side. The upper part of the screen should be at eye height.. Thighs must be horizontal in the seat, and both feet must be completely supported with free space below the table. Colleagues should take regular breaks to move and stretch, and change positions from time to time. Colleagues should also rest their eyes periodically to preserve their sight. For example, they might focus on objects other than the screen and on distant points.

DSE at The Watches of Switzerland Group
As an employer, The Watches of Switzerland Group must protect colleagues from the health risks of working with display screen equipment (DSE), such as PCs, laptops, tablets and smartphones. The Health and Safety (Display Screen Equipment) Regulations apply to colleagues who use DSE daily, for continuous periods of an hour or more. These colleagues are described as 'DSE users'. There are also sounders (see picture) located at the central point of each floor, next to the blue flashing light. These will not only aurally alert colleagues who are not in direct line of sight the blue lights, but also alert those who for medical reasons are to avoid looking directly at any flashing lights.

Blue strobe lights (see picture) are located at the middle and each end of the main office floors. In the event of a situation where the security alarm has to be manually triggered, the light will flash indicating that an incident (such as a raid) is taking place, most likely in the DC or reception.

As part of managing health and safety, the Watches of Switzerland Group must control the risks in your workplace. To do this, we need to think about what might cause harm to colleauges and decide what reasonable steps to take to prevent harm. Once aware of alarm activation – Swiftly make your way to a DC safe point. The next slide shows a map of the DC detailing their exact location. Please familiarise yourself with these locations, especially if you need to visit the DC as part of your role. Please also make sure that Safe Point doors are closed behind you to stop the smoke from filling these areas. You should then await further instruction from an Incident Marshall/DC Management.

Before offering or serving any food or drink you must ask if the client has any allergies. The 14 allergens that businesses must be aware of are:• Celery • Cereals containing gluten, such as wheat, rye, barley, and oats • Crustaceans, such as prawns, crabs, and lobsters • Eggs • Fish • Lupin • Milk • Molluscs, such as mussels, oysters, squid, cockles, whelks, and snails • Mustard • Peanuts • Sesame seeds • Soya beans • Sulphur dioxide or sulphites at levels above 10mg per kilogram or per litre • Tree nuts, such as almonds, hazelnuts, walnuts, Brazil nuts, cashews, pecans, pistachios, and macadamia nut When serving any item of food or drink to a client, ensure you keep any packaging so that you can refer to it should the client confirm that they have allergies. Food must not be made within your showroom. Only food that has been professionally produced can be given to clients.

A minor injury is a non-serious physical harm that does not require urgent medical attention and typically heals on its own or with basic first aid. These injuries cause temporary discomfort but do not result in significant impairment or long-term health issues. Examples include:

Distribution Centre (DC) Procedures - DC Combined Strobe & Sounder
The picture on the right shows a DC combined strobe and sounder. These are located at various key points around the DC. When the security alarm is activated, the blue light will flash and the sounder will emit a pulsing sound. Please be aware that shortly afterwards smoke units will also be deployed and DC visibility will start to diminish.

This includes both accidents (where harm has occurred) and incidents or near misses (where harm could have occurred but didn’t).
