Guide to applying for ESCI-UPF scholarships

Documentation Checklist

 Certificate of Cohabitation

 Official Academic Transcript

 National ID (DNI or NIE)

Photocopy of both sides of the ID of all individuals listed on the certificate of cohabitation. This must also include, where applicable, the separated/divorced parent (even if not listed on the certificate). Very important: All documents must be scanned on both sides and combined into a single file (PDF, JPG or DOC).

An up-to-date document (issued within the last three months) detailing the information of all individuals registered at your address.

This must include the final average grade for Upper Seconday Education (Batxillerat) or Vocational Training (CFGS).

Divorce decree (in cases of sole custody)

 Proof of income (if no tax return is filed)

 Income Tax Return for the previous year (IRPF)

If any household member is exempt, unemployed or in another situation, please consult the FAQs to determine which supporting documents must be submitted.

For each cohabiting household member of legal age (except those included in the main earner’s tax return). In cases of joint custody, the tax return of the other parent must also be provided.

This must specify the custody arrangements and child support payments.

1. Register!

Complete your personal details carefully, ensuring they match exactly those shown on your ID (DNI or NIE). Your email address and phone number are required so that we can contact you.

2. Apply for the ESCI-UPF Scholarship

Indicate which scholarship you wish to apply for, according to your previous studies:
  • Upper Secondary Education (Batxillerat)
  • Vocational Training (CFGS)

3. "Personal Details"

  • Enter your email address, where you will receive notifications regarding your application.
  • Also provide a mobile phone number so that we can contact you.
To proceed, click on the following sections: “Academic”, “Family”, “Financial”, “Documentation”, and “Save”.

4. "Academic Details"

  • Select—using the drop-down menu—the studies you wish to access, according to your preferred entry route.
  • Tick the box “I know my final grade” and enter your final Batxillerat/CFGS grade to two decimal places. If you do not yet have the official certificate to support this, please wait before submitting your application. You have time until 30 May.

5. "Family Details"

  • Indicate whether any of the listed family circumstances apply to you.
  • Click “Add” to enter the members of your household.

6. "Add Family Members"

You must enter the details of all individuals listed on the household registration certificate: the student (yourself), your parents (or legal guardians), siblings, grandparents, and any other cohabitants.

7. “Financial Details”

Indicate the taxable base of the 2025 Income Tax Return (box 505) for each member of the household, using the drop-down menu, except for those included in the tax return of the parents.

8. “Documentation”

  • Upload a file (PDF, JPG, DOC or TXT, maximum 9 MB) to all fields in the “Mandatory Documentation” section.
  • In the financial section, only attach the documents that certify your financial and/or family situation, according to the name specified in each field.

9. “Confirm”

Check that all the information on the receipt is correct. If everything is in order, click SAVE.

Carefully read the pop-up window and click “ACCEPT” to save your application. It is essential that you download and keep the RECEIPT as proof of submission.

Q: Who makes up my household unit?A: You must enter the student (yourself), parents (or legal guardians), siblings (indicating whether they are single, under 25, or have a disability), cohabiting grandparents, and any other residents listed on the household registration certificate. - In cases of “Divorce/separation with joint custody”: You must enter the student (yourself), both parents (or legal guardians), shared children, cohabiting or non-cohabiting grandparents/step-siblings living with the student, and any other residents listed on the household registration certificate. - In cases of “Divorce with sole custody”: You must enter the student (yourself), the custodial parent, their new spouse or partner (if applicable), children (whether shared or not) living in the household, the custodial parent’s parents (grandparents), and any other residents listed on the household registration certificate.

Q: Can I apply for the scholarship if I have not yet enrolled?A: Yes. If you are a new-entry student in the admissions process, you can apply in the 1st call (from 4 to 30 May 2026) via SIGMA, even if you are not yet enrolled.Q: What is the difference between the 1st and 2nd call for applications? A: The 1st call is exclusively for new-entry students and takes place in May. The 2nd call opens in September (from 14 September to 31 October 2026) and is available both for new students and for students already studying at ESCI-UPF.

Q: Do I need to enter my own average grade?A: Yes. In the “Academic Details” section, you must enter your average grade for Bachillerato or CFGS, as applicable. Please note that this grade, to two decimal places, will be verified later against the Official Academic Transcript you have submitted. Q: What happens if I receive my grades at the end of May? A: You can apply for the scholarship until 30 May. During the “review and amendment” period of the 1st call, you may update your documentation (until 3 June), provided your application appears as “Pending Documentation”. Q: What minimum average grade do I need to apply for the ESCI-UPF scholarship in the 1st call? A: The minimum grade depends on your entry route: - Bachillerato students: For scholarships covering 80% and 50% of tuition fees, only applications with an average grade above 8.00 will be considered. For the 30% scholarship, a minimum average grade of 7.00 is required. - CFGS students: For scholarships covering 80% and 50% of tuition fees, only applications with an average grade above 8.50 will be considered. For the 30% scholarship, a minimum average grade of 7.50 is required.

Q: What is the income threshold to be eligible for a scholarship?A: For most scholarships (Excellence, 50%, and ESCI-UPF Scholarship in the 1st call), the per capita taxable base of the household must not exceed €24,000. In the 2nd call for the ESCI-UPF Scholarship, this threshold is increased to €40,000. Q: How is “per capita taxable base” calculated? A: You must add together the taxable bases of all household members and all income from those who are not required to file a tax return, and divide the total by the number of members in the household. The system will apply a percentage weighting to each taxable base according to family relationship (main earners count at 100% and other members at 50%):

  • In the case of individual tax returns for each parent, enter box 505 (counted at 100%).
  • In the case of a joint tax return, enter the proportional share of box 505 for each declarant (i.e. 50% of box 505 per parent).
  • In the case of child support payments, this must be entered as student income (monthly amount × 12 months).
  • Siblings, non-primary earners, or other residents are counted at 50%.
  • If any household member has income but no previous year’s IRPF declaration, the corresponding amount must be entered based on supporting income documentation (see documentation requirements below).
Q: What income is considered if I live only with one parent under sole custody? A: Your household and economic unit consists exclusively of the individuals listed on your household registration certificate. However, if you receive child support (for yourself or your siblings), the total amount received over 12 months must be declared in the corresponding financial section for the student or siblings. Q: Who is included in the household if my parents share custody? A: In this case, your household unit includes you, the individuals listed on the household registration certificate, and both parents, regardless of where you are registered. Therefore, you must submit the ID and income tax return (IRPF) of both parents. The income of both will be counted at 100% as main earners. If the parent who does not live with you has dependants (grandparents or step-siblings) and this can be proven with official documentation, you may include them in the total number of household members for the per capita income calculation. Q: Who is considered the “Main Earner”? A: This is usually the father, mother, or legal guardians. Please note that their income is counted at 100% for scholarship calculations, while other household members’ income is counted at 50%. If you live independently and are financially self-sufficient, you will be considered the main earner and must provide the relevant supporting documentation.

Q: How can I be sure that I have submitted my application correctly?A: Once you have reviewed all the screens and clicked “Save” on the final “Confirm” screen, the system will generate a PDF receipt. Please keep this document, as it is your legal proof that the application has been successfully submitted. Q: Can I modify my application once it has been submitted? A: Yes, you can make changes directly in the application as long as your request is in “Pending registration” status. However, once you have confirmed submission and the application moves to “Pending validation”, the system will no longer allow changes. If you notice an important error at this stage, you must contact gestioacademica@esci.upf.edu Q: If a document has been requested from me, can I submit it later? A: Yes, as long as your application is still pending registration. You can access SIGMA at any time to check the status of your application:

  • AP (Pending review): The application has not yet been reviewed. You may still make changes or upload any additional documentation you consider necessary.
  • PD (Pending documentation): Your application has been reviewed and some documents are missing or incorrect. In this case, you will receive a personal email indicating what needs to be corrected. If you do not receive the email or have any doubts, please contact gestioacademica@esci.upf.edu
Q: Why can’t I access my scholarship application or why can’t I edit it? A: There may be several reasons depending on your situation:
  • Out of deadline: Check that you are within the official application deadlines.
  • Duplicate application: Please remember that you can only apply for one scholarship per call.
  • Application status: You will not be able to modify any data or documents if your application is in one of the following statuses:
- AL (Registered): The application has been validated.- DE (Rejected): The application has been rejected.- PA (Pending allocation): Your application is complete and awaiting the final decision for the award of the scholarship.

Q: How should I upload my ID card (DNI) and those of my family members?A: It is very important that you scan all ID documents (yours and those of all individuals listed on the household registration certificate, as well as the non-cohabiting parent, if applicable) on both sides. All scanned documents must be combined into a single file (Word, PDF or JPG). For example, if you need to submit three ID cards, you must create one single document containing the scans of all three IDs (six sides) and upload it to the “DNI/Passport” field. Once the single file is uploaded, a green tick will appear. The application does not allow individual image uploads (JPG) or multiple files within the same field. Q: What happens if my file name is very long or contains special characters? A: We recommend using simple file names (for example: DNI.pdf, INCOME.pdf). Avoid accents, full stops, or special characters such as “ç” or “ñ”, as the system may generate an error during download and administrators may not be able to review your documentation. Q: What should be submitted if I am not required to file an income tax return? A: Only for adults who have not filed a tax return:

  • IRPF income attribution certificate issued by the Tax Agency
  • Employment history certificate (social security life record)
  • Copies of the last two payslips from the previous year and/or documentation proving the period and amount of unemployment benefits/subsidies received
In the case of benefits, a certificate of income from unemployment and pensions (disability, widowhood, orphanhood, etc.) or, where applicable, proof of non-receipt of such benefits. Q: Why do I see a “red cross” in some financial documentation fields? A: Don’t worry. The system displays a red cross by default in sections that have not yet been completed. If a financial condition does not apply to you (for example, if you are not self-employed), that field can be left blank and you will still be able to save your application.

Regarding ESCI-UPF Scholarship resolutions

Q: Do I need to apply for the Nacho Dualde Talent Scholarship? A: No application is required. This scholarship is awarded automatically to the student with the highest admission grade (for new entrants) or the best academic record in each academic year (for current students). Q: Where can I check whether I have been awarded the scholarship? A: The results of the 1st call are published on the ESCI-UPF website during the first week of June. The results of the 2nd call are published directly on the institution’s intranet. Q: How is it decided who receives the scholarship if there are many applications? A: First, applications that meet the requirements are validated (minimum average grade depending on previous studies and a maximum per capita income of €24,000). Valid applications are then ranked on a maximum score of 10 points, obtained by combining two criteria (academic and financial):

  • Academic score (up to 5 points): calculated based on the applicant’s average grade and entry route (Bachillerato or CFGS).
  • Financial score (up to 5 points): calculated according to household per capita income (based on income brackets up to €24,000).
Finally, the available scholarships (80%, 50%, and 30%) are awarded strictly according to ranking order until all places in each category are filled. Note: A minimum of 8 points is required to be eligible for the 80% and 50% scholarships. Q: What happens in the event of a tie? A: If two or more students obtain the same final score, the scholarship will be awarded to the applicant with the lowest per capita taxable base (i.e. the lowest household income). Q: If I am awarded the scholarship this year, will I keep it for the whole degree? A: Excellence scholarships (80% and 50%) are renewable. This means you may keep them in subsequent years provided that you continue to meet the financial requirements and, above all, you do not fail any subject (you must pass 100% of the credits enrolled) and you achieve the minimum academic performance required for each academic year.

Mandatory Documentation. All documents related to the information provided in the “Family” and “Academic” sections:

  • ID card/Passport (DNI/NIE) of all individuals listed on the household registration certificate. This must also include the separated/divorced parent, where applicable (even if they are not listed on the certificate).
  • Household registration certificate (family address registration): an up-to-date document (issued within the last 3 months) detailing all individuals registered at your address.
  • Official Grade Certificate: the final average grade for Bachillerato or CFGS, duly stamped.
Financial documentation. All documents required to verify your family and financial situation. As a result, some fields in this section may be marked with a red cross if the corresponding financial/family condition does not apply to you.

Additional documentation required if you are not obliged to submit an income tax return
