Register AAA farms and enter or update the general information of an entity according to the Registration Form (status, cluster, region, address, entity type, GPS and/or polygon, phone, remediation status, privacy agreement/consent letter, etc.).
Remember:
- KoltiTrace operates at the farm level. In KoltiTrace, one Entity = One farm.
- Every farmer must have a consent letter to be part of the Nespresso Sustainable Quality Plan. Its existence must always be verified when listing farms, if not signed, it must be requested from the farmer. This is managed from the entity menu.
COMPLEMENTARY
Lot (Plot)
A module that allows registering one or more productive areas within a farm. Key clarification: Each AAA ID corresponds to a farm (Entity), which can have one or several plots. Allows registering, per lot: Total area, GPS, Number of trees, Productive practices.
Important: This module should be used only if you wish to record data from different productive plots within a farm, whether they are geographically together or separate. Each AAA ID in KoltiTrace belongs to a farm or Entity, which can have one or more productive plots. If agronomists wish to collect data from plots, they can do so through this function.
MANDATORY
Interactions
The Interaction module allows documenting any contact or communication with farmers that is not TASQ, training, or intervention.
Available interaction types:
- Calls/SMS/Social Media
- Deviation resolutions
- Email
- Technical Assistance
- Inspection
- Etc.
Important: All interactions between agronomists and farmers (whether calls, emails, technical visits, etc.) must be recorded in KoltiTrace, as they are an important and frequent KPI for Nespresso. Remember: In each Interaction, you must add the information of the participant(s) for the record to be complete.
MANDATORY
Events - Training
Agronomists must register all training and events organized with farmers.
The module allows organizing, implementing, and documenting events of the Nespresso Sustainable Quality Plan (trainings, group meetings, coaching, advisories, etc.).
For each event, the following must be registered:
- Location, topic, date, and time.
- Participants (at least one person registered in KT, with the option to add external guests).
- Attendance lists (signature) and photos.
- Participant feedback (optional).
Important: All events and trainings must be registered in KoltiTrace, including participants!
COMPLEMENTARY
Action Plan
A module that allows defining and following up on activities agreed upon with an AAA farm.
Each Action Plan must include:
- Date
- Description
- Priority
- Status
- Optional participant
- Comments.
For each Non-Compliant response in TASQ questions, actions are automatically generated in the Action Plan.
Action Plan
There are 2 methods to add a new action plan: The first method is to add it from the Action Plan section in the Entity Control Panel. The second method is to add a new action plan from an assessment.
Certification
"Available certification holder options to choose from: RA/UTZ, 4C, Rainforest Alliance, Café Practice, Fair Trade International, Fair Trade USA, TechnoServe, AAA Program, Organic, and others."

People
Add or update information for the farmer's family members and workers.
Important: Each farm must have at least one primary contact registered.

Certification
This information is critical for all farmers, as it allows them to know which certifications each farmer has and for how long they are valid.
Important: All certifications for each farm must be registered in KoltiTrace; it is your responsibility to review that this information is up to date for your assigned farms.
The Certification module records certifications issued to farmers over a defined period. Mandatory information includes:
- Certification ID
- Holder
- Date
Current list of certifications available in the system: RA / UTZ, 4C, Rainforest Alliance, Café Practice, Fair Trade International, Fair Trade USA, TechnoServe, AAA Program, Organic, Accelerator Farm, FCRS, NCP Verified, Regenerative Agriculture, Others.

Intervention Module
The Intervention/T&L Regen module is available as a regenerative agriculture assessment in some countries.
Access restricted to AAA agronomists, data supplier admins, and managers.
Includes six surveys (three with sub-surveys):
- Farm design
- Soil health (herbicide rounds)
- Crop nutrition (fertilization rounds)
- Crop health (pesticide rounds)
- Water management
- Farm management
Key note: It is only active in Colombia, Costa Rica, Brazil, and India.

Agronomists must perform the TASQ assessments available in their country for Nespresso entities:

- TASQ 2022 Inclusive
- TASQ 2022 Organic
- TASQ 2022 Organic Quality
- TASQ 2022 Regen
- TASQ 2022 Advanced Regen
- TASQ 2022 Organic Regen
- TASQ 2022 Advanced Organic Regen
Remember: Each farm must be evaluated at least once every three years in TASQ Inclusive and Regenerative – full questionnaire. It is your responsibility to review that this is up to date for your AAA farms.
