Getting started with Planbase

Submitting your Availability

Navigate to the week which you'd like to submit your availability for and then select the SUBMIT AVAILABILITY option from the quick access dropdown at the bottom of the page.

Input your desired availability for the week into the modal. You can use the Copy previous week options if your availability repeats from prior availability. In the example below is an availability ready to be submitted.

Accessing your schedule

Your currently scheduled shifts will show on your calendar when you log into the Planbase Platform.

View and manage your schedule in Slack

Providers should enter their availability 30 - 60 days in advance.

View and manage your upcoming schedule

To view your upcoming schedule simply type myschedule from within the Planbase Slack App.

This will automatically show your schedule for the next week, including any activities that you have been assigned. To view a different week simply select an alternative date from the dropdown menu. You can also download a PDF for the next 3 months by clicking the download button!

How do I request changes to my schedule?

Requesting Time Off

If you will be Out of Office and totally unavailable, you can submit it on Planbase by navigating to the week which you would like to submit your time off, and then select the PROPOSE NEW SCHEDULE option from the quick access dropdown at the bottom of the page.

Input your desired time off for the week into the modal. You can use the Add entry options if you would like to have multiple different time slots on the same day. You can request to cancel existing OOO (out of office) using the 🗑️ icon. Requested cancellations will be denoted like below:

You will only be prompted to add total hours and start time for the OOO request. Ie. If requesting 9a-5p OOO, Start time is 09:00AM and 8 Hours.

Once you are ready to submit your OOO click the Next Step button at the bottom of the page to validate your time. Once your OOO can be auto-approved you'll see a green callout at the top of the page.

If your OOO cannot be auto-approved you'll see an amber callout which clearly indicates which changes are needed to continue.

Make any necessary changes and click the Submit Schedule button when you are ready for your OOO to be processed. Your OOO will automatically be added to your schedule, or sent to a manager if further approval is required.
