Overview of ExternalIIA Producers
Selection Criteria:
Producers are selected based on their extensiveexperience with online learning platforms, primarily
CVENT.
Role & Expertise:
Producers specialize in managing and facilitatingthe online learning environment. They ensuresmooth course delivery, assist with engagementtools, and help maintain participant interaction
throughout the session.
Important Distinction:
Producers are not IT professionals. For technicalissues related to your computer, internet, orbandwidth, please contact your organization’s IT
department.
Producer Assignment& Contact Process
Producer Assignment & Contact:
Once your course is confirmed, a producer will beassigned to support the delivery. The producer’scontact details will be included in yourconfirmation message. If multiple producers areassigned, their details will be provided along withthe specific dates they will be involved.
Producer Timeline:
Your producer will reach out within one week of thecourse going live. If you don't hear from them, usethe contact information in the confirmationmessage. Producers will also follow up within 24hours of receiving your fileshare materials toensure everything is in place for your session.

Overview
Volunteering: Faculty membersare expected to volunteer for atleast one course per year tomaintain their active status.
The scheduling process for bothonline and in-person coursesoccurs annually. The IIA FacilitatorPortal will be the main platform formanaging course assignmentsand confirming availability.
Pairing: New faculty or thosenew to a specific course maybe paired with experiencedfacilitators to ensure effectivecourse delivery.
Once you’re scheduled, the portalwill provide all relevant coursedetails, including participantnumbers, course materials, andreminders about upcomingdeadlines. The goal is to make theprocess as seamless as possiblefor both faculty and the support

Feedback & Course
Materials Guidelines
Course Feedback: A feedback form will be provided for PublicSeminars and available in the CVENT classroom for onlineeSeminars. You can also submit feedback via the FeedbackForm provided in the faculty portal if you have feedback on
course materials. Hard Copy of Materials: Hard copies of the Facilitator Guide (FG)will only be provided for in-person sessions. For online sessions,you will receive electronic materials, including the presentationslide deck, Participant Guide, and additional handouts. Requestsfor hard copies must be made within 3 weeks of the delivery
start date.Document Sharing & Modification: Faculty are prohibited fromaltering or sharing IIA materials without written permission fromThe IIA at least 4 weeks prior to the course date.
Public & Online
Seminars
The IIA offers both public in-person and online seminars, providingfaculty with the necessary tools and support for a successful learningexperience. Whether facilitating on-site or virtually, faculty can expectclear guidelines, logistical assistance, and dedicated resources to
ensure smooth delivery.
Faculty will enjoy a flexible, interactive teachingexperience, whether in-person or online.
Public (In-Person)
Seminars
On-Site Support: An IIA representative will assist with event logistics,ensuring all participant materials and presentation slides are set up
before arrival or morning of.
Travel Arrangements: The IIA covers airfare and hotel accommodations,with check-in the day before training and check-out on the final day. Allflight itineraries must be submitted to Sonia Rosario for approval before
booking.
Dress Code: Business casual is recommended. Meeting roomtemperatures may vary, so dressing in layers is advised.
Meals & Breaks: A continental breakfast, morning/afternoon refreshmentbreaks, and lunch (for full-day sessions) will be provided.
Facilitator Dinner: Faculty are invited to join a planned dinner with IIAstaff. Details will be provided prior to the seminar.
Public (In-Person)
Participant FAQs
Dietary Restrictions: Participants should inform theon-site contact of any dietary restrictions. Notifythe contact if participants ask about
Course Materials: All participant materials will beprovided electronically. Participants will receive anemail with a download link to access theParticipant Guide and supplemental materials priorto the training start date. PowerPoint slides are notprovided to protect IIA intellectual property.Code of Ethics: If concerns arise betweenparticipants, refer to the IIA’s Code of Ethics policy.For ethics complaints, processes, and forms, visit
accommodations.
CPE Certificates: Sent via email within 6-8weeks after the final training date.
Training Survey: Distributed via email on the final trainingday. The survey closes 2 weeks later, with results available tofacilitators 1-2 weeks after closing. Participants can also scanthe QR code to access the survey.

Membership Policy: The IIA no longer offers freemembership to non-members attending a course.
Online Seminars
Technical Support: A dedicated IIA producer will assist with sessionsetup, platform navigation, and troubleshooting during the course. Allparticipant materials will be emailed before the first training day, andpresentation slides will be loaded into the platform.
Platform Access: Facilitators will receive login details, materials, andsession links ahead of time via the portal.
Meeting with the Producer: The producer will have access to theplatform at least one week before training and will contact you toschedule a meeting. It’s recommended to meet that week and/or 1hour before the first session starts.
Class Size Adjustments: The Collaboration Guide includes optionalactivities based on class size, which can be discussed during your
meeting with the producer.
Online Seminars
Facilitator Resources: You will receive a Facilitator Guide and aFacilitator-Producer Collaboration Guide, PPT slides which may includepolling questions, group activities, and more. via the portal at the time of
course confirmation.
Virtual Classroom Etiquette: Professional attire is encouraged, andfaculty should ensure a quiet, distraction-free environment.
Participant Materials: Participants will receive a PDF copy of theParticipant Guide, any associated handouts, and, if applicable, an eBookcode for supplemental materials/books. They will not receive the slidedeck to protect IIA intellectual property. Shareable documents will beemailed and included in the Files pod during the session.
Attendance Monitoring: The producer will assist with participantmonitoring and handle attendance reporting

Training Materials: Bring a computer and/or USB with slide decks for
training (in-person only).
CPE Log: Introduce the CPE log and obtain signatures from attendees.
Attendance Submission: Complete and submit the Course RosterAttendance Form within 48 hours after the event via the Course RosterSubmission Link (provided by the Sr. Specialist, Sales Ops & Group
Training specific to each client).
Content Guidelines: Do NOT customize course content unless specifically
requested.

Participant Registration: Attendees register through Cvent (1-2weeks before training). They will receive an email from The IIATraining Team (do-not-reply@iianotifications.org) to complete
registration.

To ensure smooth logistics for your facilitation assignment, it'simportant to follow the IIA’s travel and approval procedures.Faculty members must wait for the confirmation messagebefore making travel arrangements and seek prior approvalfor any adjustments to the standard itinerary. This ensures alltravel expenses are properly managed and reimbursed.

Public Seminars:Hotel reservations will be made by our Events Team based on the seminar location.
You will receive an email with your hotel confirmation and additional details.
For some locations, faculty are responsible for making their own reservations and using apersonal card for payment. Hotel links for these sites will be provided.
Single Course Offerings, Chapter, and On-Site Events:
Faculty must make their own hotel arrangements.
A list of nearby and/or discounted hotels will be provided during the course confirmation
process.
Standard
Fee Structure
Our standard fee structure ensures that all faculty membersare compensated equitably for their contributions. Thistransparent and consistent approach guarantees fairnessacross all engagements and reinforces our commitment toexcellence in training delivery. For in-person public ILTsessions, the standard fee is $500.00 USD per day, unless youare delivering a specialty course and/or a certificate course,in which case a different rate may apply.

The IIA offers both public in-person and online seminars, providingfaculty with the necessary tools and support for a successful learningexperience. Whether facilitating on-site or virtually, faculty can expectclear guidelines, logistical assistance, and dedicated resources to

Seminars
On-Site Support: An IIA representative will assist with event logistics,ensuring all participant materials and presentation slides are set up
before arrival or morning of.
Travel Arrangements: The IIA covers airfare and hotel accommodations,with check-in the day before training and check-out on the final day. Allflight itineraries must be submitted to Sonia Rosario for approval before
booking.
Dress Code: Business casual is recommended. Meeting roomtemperatures may vary, so dressing in layers is advised.
Meals & Breaks: A continental breakfast, morning/afternoon refreshmentbreaks, and lunch (for full-day sessions) will be provided.
Facilitator Dinner: Faculty are invited to join a planned dinner with IIAstaff. Details will be provided prior to the seminar.

Online Seminars
Technical Support: A dedicated IIA producer will assist with sessionsetup, platform navigation, and troubleshooting during the course. Allparticipant materials will be emailed before the first training day, andpresentation slides will be loaded into the platform.
Platform Access: Facilitators will receive login details, materials, andsession links ahead of time via the portal.
Meeting with the Producer: The producer will have access to theplatform at least one week before training and will contact you toschedule a meeting. It’s recommended to meet that week and/or 1hour before the first session starts.
Class Size Adjustments: The Collaboration Guide includes optionalactivities based on class size, which can be discussed during your
meeting with the producer.
Online Seminars
Facilitator Resources: You will receive a Facilitator Guide and aFacilitator-Producer Collaboration Guide, PPT slides which may includepolling questions, group activities, and more. via the portal at the time of
course confirmation.
Virtual Classroom Etiquette: Professional attire is encouraged, andfaculty should ensure a quiet, distraction-free environment.
Participant Materials: Participants will receive a PDF copy of theParticipant Guide, any associated handouts, and, if applicable, an eBookcode for supplemental materials/books. They will not receive the slidedeck to protect IIA intellectual property. Shareable documents will beemailed and included in the Files pod during the session.

Public Seminars:Hotel reservations will be made by our Events Team based on the seminar location.
You will receive an email with your hotel confirmation and additional details.
For some locations, faculty are responsible for making their own reservations and using apersonal card for payment. Hotel links for these sites will be provided.
Single Course Offerings, Chapter, and On-Site Events:
Faculty must make their own hotel arrangements.
A list of nearby and/or discounted hotels will be provided during the course confirmation

Fee Structure
Our standard fee structure ensures that all faculty membersare compensated equitably for their contributions. Thistransparent and consistent approach guarantees fairnessacross all engagements and reinforces our commitment toexcellence in training delivery. For in-person public ILTsessions, the standard fee is $500.00 USD per day, unless youare delivering a specialty course and/or a certificate course,in which case a different rate may apply.
