HighQ - Permissions Overview

The Permissions Grid

This is the permissions grid. We will go through each column individually to show what exactly it controls.
Each row corresponds to a particular folder. Folders can be expanded by clicking on the chevron when available to access individual permissions for the files and sub folders within.

If your permissions grid does not look like this one, go to the file settings tab and ensure the "Sites, Folders and Files" option for permissions is enabled.

The Permissions Grid - Inherit

If enabled the inherit option will make a folder copy all of the permissions from the folder it is within. For example, in the picture shown the finance folder will copy all of its permissions from the "Gateley IT Trainer Site" folder. You can see this in the "View" column as it is ticked for the "Gateley IT Trainer Site" folder and is shown as a grey tick for the "Finance" folder.

The Permissions Grid - Folder

There are 3 columns under the Folder section of the permissions grid. Flip the cards to see exactly what each one controls.

This will give the users full admin rights to the folder allowing them to Add new sub folders, Add new files, Delete files, and Delete the folder itself.

This determines whether users can see any sub-folders nested within this folder. If this is disabled, you will be unable to add further permissions

There are 4 columns under the Files section of the permissions grid. Flip the cards to see exactly what each one controls.

This allows the user to delete any of the files they are able to view.

This allows users to create new versions of the files they can view.

This prevents users from downloading any of the files within the folder.

The View column is different from all others as it is not yes or no. All allows users to see all files in the folder. Own just lets them see files they upload. None blocks the view of any files.

Admin groups

When assigning a user to groups you will find the 5 "Admin Groups" on every site. Shown below are the 4 most useful ones as the 5th only works with specific sites with niche setups. Flip the cards to see exactly what each group allows the user to do.

This gives the user full admin access to the site, allowing them to configure file settings, add or remove users, change group permissions and full access to all folders and files. This level of access must never be given to users from outside of Gateley.

This gives the user the ability to make edits to the groups on the dataroom as well as add, remove or suspend users. This level of access must never be given to a user outside of Gateley.

This gives users full access to add, edit or remove any file or folder on the site. This will allow them to see all folders and files regardless of site group settings.

This gives the user full access to the reports and audits section of HighQ. They can share, create, delete and view any audits or reports created on the site.
