Importance of Subgroups in WebNEERS

Adult Subgroups

What is a Subgroup?

  • Subgroups are used to categorize adult participants or youth groups in WebNEERS so data can be generated later to see a groups outcomes, etc.
  • Adult and youth groups have their own separate sets of subgroups – and one participant or class can be a part of multiple different subgroups.

Benefits of Subgroups

  • Allows for data to be categorized and easily accessed
  • Allows filters to be created so reports can be pulled for select groups of participants
  • Reports can be shared with program partners to share with their stakeholders and are useful tools during interpretation and the recruitment process.

Types of Subgroups

Regional = Regional level subgroups are created specifically on a county-by-county basis. These can be used to categorize participants into smaller and more specific groups – like by school or curriculum taught

Institute = Institute level subgroups are created by the State Office and are listed on the Adult Educator Exit Form and 4-H Group Enrollment Form

Adding New Regional Subgroups

  • Before adding a new Regional Subgroup – be sure to have a discussion as a county to decide which subgroups are right for you. Having subgroups can be an extremely useful tool, BUT too many subgroups can also become overwhelming from both a paperwork and a data entry perspective.
  • Adding new subgroups can be done either by the LOA or State Office staff.
  • Best practice would be to create new subgroups BEFORE data entry begins in the next fiscal year – however if an idea for a new subgroup comes up mid-year you can add one at any time.

Adult “Subgroup” VS “Adult Groups”

  • Subgroups: group people together for a specific reason or activity
    • For example – Curriculum type, School districts, etc.
    • Participants can be in multiple subgroups
  • Adult Groups: group adults together based on their naturally occurring group
    • For example – Avance or Urban Harvest or other large recurring partnerships
    • Participants can only be in one group
