Busy! 'Renewal Season'- Many clubs start up at the end of summer. SCAs are starting up the clubs, and also renewing past clubs preparing for the upcoming club year. Exception is around last two weeks of the year when dentists break for holidays
Slow season Summer is slow for clubs as many break for the summer holiday with family. Q3 will start picking up heading into Q4
becoming more of 'summit season' with summit now being in march compared to when it was late in the year. scas are supporting the club season and also outreaching and preparing for summit. Want new clubs to start before we hit the summer lull.

Identifying and nurturing potential Study Club leaders and members.

Key Notes:

  • Trish helps the leader define the club’s purpose, invite members, and identify potential co-leaders or a club coordinator.
  • Potential members attend the Organizational Meeting where the leader shares club's purpose and invites them to join. Need 7 paying members for club to launch.
  • Takes about 3-4 months to start a club, fastest is about a month
Common Challenges:
  • Low registration or commitment. Potential members show interest, can't make it to org meeting, don’t complete sign-up.
  • Leaders and members misunderstand the commitment — leaders fear it’ll take too much time, members worry it’s geared toward referrals than their own growth.

Goal: Help the leader, members, and club start strong after launch.

Key Points:

  • Review goals and details from Trish before launch.
  • Explain microsite functionality.
  • Set clear expectations and meeting rhythm.
  • Connect goals to resources and benefits within the membership and recommend action plan for implementation.
  • Establish trust and partnership.

Common Challenges:

  • HubSpot–Gainsight disconnect causes repeated conversations and lost context.
  • Hard to connect personally with members early on.
  • Members see themselves only as club participants, not full Spear members.
  • Limited understanding of how the SCA supports their growth.
  • Difficult to humanize the SCA role and distinguish it from a sales rep.

Goal: Evaluate club progress, plan for renewal, and set goals for the new year.

Common Challenges:

  • Uneven participation — feedback from only a few members.
  • Members who don’t see value may not renew, risking club stability.
  • Leader burnout with no one ready to step up causes clubs to fold.
  • Leaders unsure how to measure success or set new goals.
*Bonus- Hesitation to form 'Spin-off' clubs

Key Points:

  • Assess member engagement and meeting attendance.
  • Gather feedback to shape next year’s topics and schedule.
  • Celebrate wins and reinforce club value before renewal season.
  • Use data and feedback to strengthen next year’s launch.
  • Invite new members
