Monthly Activities

As a BKU, some activities that you need to do monthly are:

  • Check AutoOpen SP-Lean Organization - Power BI
  • Check Zero Cost Closed Orders Lean Organization - Power BI
  • Clean old COPS Processing error not handled by planners/Dispatcher.
  • Read the Act! Monthly release note and communicate the most essential remarks back to your colleagues, Business Process Management & Transformation - Release Notes - Release_Notes_Overview.
  • Plan (bi)monthly trainings to communicate (30 minutes to a 2-hour session, "lunch-n-learn"?…)(re)training calendar - (eg. share and train new functionality from COPS or the BKU Quarterly call)

Logistic Monitoring

Depending on your customer center, the responsibilities might differ, In general, there is a benefit to monitor, correct, and own all of these cases/flows/setups by a single person/team, for both service and logistic flows. It does require that a single person identify training requirements or corrections in the order entry process or setup for both flows to prevent these errors! Our recommendation for this ownership would be with the Logistics Team as they have the required deeper understanding of system functionality, limitation and or dependencies.

Weekly activities

As BKU, you need to check weekly on some KPIs to control your process. Click on the chain next to every KPI to check its details ( All of them can be found in Vision Air OPS)

  • Check Aging TECO
  • Check Aging PCNF
  • Check Aging CNF
  • Check notification in Backlog
  • Check WIP
  • Check Hours
  • Clean late delivery orders
  • Clear Order TECO not CLSD
Ensure that all WIP/Backlog orders with a backlog of more than 90 days have a WIP code (entry date less than one month).

Is your Data still accurate?

Having the correct setup data is key to a good start. There are some questions that you can ask yourself and your team for better performance. Request support to your GPE.

  • Is the Auto Open table still accurate?
  • All plannergroups listed with correct planners in SAP?
  • Are you satisfied with your Autoclose results? Should you increase limits or introduce new order types?
  • Did your sales regions/plannergroup setup change?
  • Are Additional services orders being created against the correct equipment with the right material number?
  • Create and maintain basic setup for (new) users
    • SAP 'own data’
    • Worklist
    • Epad filters

COPS & MAM2 Quarterly / Semi-Annual

COPS public holiday & absences planning. Mass load the public holidays through the settings menu!. Avoid your planners spending time on manually putting in the public holidays!!

Did you stop MAM² accounts for FSEs who left the company or changed position? This will also remove FSE from the planning board and VisionairOPS Check if their PCNF orders have been reassigned?
