Steps to Access the Supplies Only Queue

Go to List B from the Enterprise List

Accessing the supplies only list

Select the "Last Event" in the top right corner

Filter List B to show the "Supplies Only" queue

This will pull a list of all patients with their orders in the "Supplies Only" disposition

Click on a Patient to open the profile

Then click on the Patient's name to check out the Patient's Menu to see what our next steps will be

Check to see what List the medication orders are in (List B, List I, or List 4)

List of Discontinuation Reasons:

D/C due to Can't Afford Copay: The patient said they stopped the medication because they can’t afford the copay. D/C due to Therapy Change: The patient said they are no longer taking this medication because their doctor switched them to a different one. D/C due to Transferred Out: The patient said they are now getting their medication from a different pharmacy. D/C due to Unable to Contact: We have not been able to reach the patient or any alternate contact. D/C due to Unable to Obtain Refills: We tried at least three times to get a refill from the doctor, but didn’t receive a new prescription. Deceased: We learned the patient has passed away, either from a contact or a 270/271 report. RPH Counsel: The patient said they are no longer taking the medication, but not because of a therapy change.

Align the supply order(s) compound dates to match the medication orders.

Tip: check the delivery truck to determine what orders the patient most recently scheduled. This will determine what medication compound dates the supplies should align with.

ALWAYS be sure to update the last event to a "." in order for the orders to go back into the dialer when it is time to schedule the medications + supplies!

We should NOT be shipping out supplies only!

We can recommend that patients obtain supplies through DME suppliers, Amazon, drug stores, etc

Reminder!

IF there is a special circumstance, escalate the patient to a lead to determine next steps

Examples of Special Circumstances to escalate to a lead:

  • Patient was supposed to get supplies, but they weren't added to the delivery ticket with medication
  • Patient's animal damaged the Supplies
  • Patient is unable to take meds without supplies / cannot go to a DME supplier
  • Supplies arrived in package damaged
  • Patient lost supplies on vacation

When a patient has orders on file for supplies, it is common that the patient will only need to order medication orders. If the patient scheduled their medication delivery and they did not want supplies, but the compound dates were not adjusted accordingly, a supplies only order could have been pushed to the campaign. OR if a medication is in List I (Rx is expired/out of refills), and the supplies are in List B, the supplies can get pulled into the dialer.

Addressing the Supplies Only situations on patient's profiles will help avoid future situations where the supplies' compound dates and the medications' compound dates are NOT aligned. This can avoid calling a patient prematurely when they are not due for their medications yet.

Determining what list(s) the Medication orders are in can help us determine our next steps

Reviewing the prescription files will help us determine what the compound dates for the supplies must be updated to in order for it to match with the medication(s) on file

This progress note can detail the supplies only situation NOTE: Sometimes there may NOT be a progress note detailing a supplies only situation. Investigate the patient's profile further in order to see if this is a true supplies only situation or possibily an incorrect disposition selected.

Usually, there is a progress note that specifically details the supplies only situation. This suggests that a supplies only order was pulled into the dialer and the PEA member on the dialer wrapped up, and picked the disposition "Supplies Only".

Since this Patient last ordered Ohtuvayre, we need to align the supplies to match the next compound date of the Ohtuvayre

For this example, the "Next Cmpd / Fill Dates" for the supplies orders (Pari Vios Nebulizer + Pari LC Reusable Neb Set) NEED to updated to match the medication's "Next Cmpd / Fill Dates" (Othuvayre) The Next Cmpd/Fill Dates for the supplies should be updated to 11/21/2025

Determining what List the Patient's Medication orders are in will help us determine our next steps. If they are in:

List I: Request refills for the expired medication AND push out the supplies out a week to give the provider's office some time to refill NOTE: If we have NOT shipped to this patient in 3 months, make the appropriate discontinuation (see below). Similarly, if we have requested refills 3 times, we can update the last event to "D/C Unable to Obtain Refills" . Call and inform the patient!

List B:Align the compound dates of the supplies to match the medications.

List 4: Set up the prescription OR ask someone trained in Rx Setup set up the prescription using the PEA Call Support chat. Then, align to match the compound dates to the newly set up prescription.
