Federal and state labor laws require accurate tracking of hours worked, especially for non-exempt employees. Inaccurate reporting can lead to violations of wage and hour laws, such as underpayment for overtime, which can result in fines, back pay, or legal action.
For grant-funded work, PIH must be able to demonstrate how employee time allocated to the project to ensure these costs are covered. Inaccurate timecards can lead to audit risks, loss of funding, and/or loss of trust from the donor.
Reviewing timecards helps managers see whether staff are consistently taking required meal or rest breaks. This is not only a legal requirement in some cases, but chronic overwork or skipped breaks may indicate potential burnout, and accurate timecards help managers intervene early.
It is essential managers review timecards carefully and approve them on time to ensure timely payment to the emploeye. All timecards must be approved by managers weekly on Mondays by 2pm ET
