Online finance application: Employees can easily complete the finance application through our online process. Two-factor authentication: Once they start their application, they will receive a two-factor authentication to ensure the security of their information.

Sourcing a vehicle
Depending on the vehicle, there a few different ways for us to source and secure the right car, including via:
- Our SG Fleet dealer network: If your employee is looking for a new car, we’ll source it using our exclusive fleet discounts.
- Direct manufacturer purchase: For brands like Tesla, Polestar & BYD, your employee will place the order directly and work with us to include the secured price in their VSSS.
- Used cars: If your employee is looking for a used car, they can select their car and inform their consultant once confirmed.

Quote & sign final VSSS
Once your employee has finalised their choice of vehicle, our consultant will produce a VSSS with their final running costs for their signature. You (the employer) will also need to approve the VSSS. This is generally conducted through 'digital acceptance' where you simply reply 'approve' to the email.

Placing a vehicle order
Once the VSSS is signed, we order the vehicle in one of the following ways:
- SG Fleet dealer network: Our team places the vehicle order on your employee’s behalf. Your employee will receive an estimated delivery date upon dealership confirmation.
- Direct manufacturer purchase: Your employee will continue to receive updates directly per their order placement.
- Used cars: Our consultant will work with your employee to manage the process and secure their used car.

Payroll action
SG Fleet
Once settlement occurs, we’ll forward your nominated contact a Payroll Variation Authority (PVA) report to confirm salary deductions.
This PVA report should be processed in the next available pay cycle.
Depending on your workplace set up, the PVA may vary. See below the common variations and the relevant sections to be aware of:

Setting up salary deductions
Employer
Based on the PVA report, your team can set-up ongoing payroll deductions and follow the process below:
- Send the pay file:
- Each pay cycle, send a pay file (remittance) to tiedtopayroll@sgfleet.com and advise what has been deducted.
- Deposit thefunds:
- Within 2 days of the pay cycle, please deposit funds into the nominated SG Fleet bank account.
- Please note: If your organisation is set up under a direct debit arrangement, funds will be withdrawn accordingly.

Treatment of GST
Sample tax invoice You will receive a tax invoice similar to the below, along with additional corresponding collateral.
SG Fleet
Vehicle expenses are paid by SG Fleet inclusive of GST. As your employee is eligible for GST savings through a novated lease, we facilitate this saving by invoicing you for the actual GST incurred on the expenses for each employee, and credit this to your employee’s lease account.

You can claim the GST cost in full via your regular Business Activity Statement.

Managing account balances
SG Fleet
We understand that circumstances change, and sometimes an employee’s lease package needs adjusting to align with their usage (for example: moving house or work site, or needing more or less fuel than budgeted). In these cases, we:
Monitor lease accounts: Our dedicated team propactively monitor accounts to identify any variations from the pre-determined budget.
Consult with employees: We reach out to your employees if their account begins to vary, ensuring they are up-to-date with any changes.
Confirm adjustments: Once confirmed with your employee, we advise your payroll team of any adjusted salary deductions.
Issue an updated PVA: An updated PVA is provided to reflect the new budget and salary deductions.

FBT and LVA
SG Fleet
Fringe Benefits Tax ( FBT)
Novated leases are fringe benefits provided to your employees. These should be at no cost to your company. To mitigate this, SG Fleet calculate salary deductions for vehicles, and setup collections via payroll for these. SG Fleet will manage the collection of data and provide reporting to use in preparing your FBT return. This is provided annually after completion of the FBT year.
Luxury Variation Adjustment (LVA)
A comprehensive explanation of the LVA can be found SG Fleet can provide reporting to assist with managing vehicles that incur the Luxury Vehicle Adjustment.
If SG Fleet collect the LVA on your behalf, this is built into the pre-tax component of the lease and refunded bi-annually

Information from you to SG Fleet
The file containing six fields (as per below example) is sent to SG Fleet. Depending on your payroll set up with SG Fleet, the GST / Luxury Vehicle Adjustment (LVA) may either be kept by payroll or remitted to SG Fleet. Please refer to your Relationship Manager regarding your set-up. The pay file: - The file should ideally be in CSV format, if not Excel will suffice.
- Figures should be positive, not negative values.
- All figures for each lease need to be on the one line.

We’ll also send you the employer notification for deductions. Subject to payroll cutoff, deductions for the novated lease may begin in the next available pay cycle.
Reconciliation advice
Postivie balance: Any positive balance is advised to your you via the reconcilation advice to reconcile against deductions taken via payroll and invoice payments made to SG Fleet. Manage via the pay file accordingly. Note: If you are on EFT set-up then we return the funds to you per our agreement to pass on to the employee. Negative balance: Any negative balance will be invoiced to you to be paid in our standard invoice terms.

Information from you to SG Fleet
The file containing six fields (as per below example) is sent to SG Fleet. Depending on your payroll set up with SG Fleet, the GST / Luxury Vehicle Adjustment (LVA) may either be kept by payroll or remitted to SG Fleet. Please refer to your Relationship Manager regarding your set-up. The pay file:- The file should ideally be in CSV format, if not Excel will suffice.
- Figures should be positive, not negative values.
- All figures for each lease need to be on the one line.

Note for employer: Prior to settlement, we will forward the co-signed Novation Agreement for your signature via our e-docs portal. Alternatively, we can execute the document via a delegated authority arrangement with you. Once the documentation is returned to SG Fleet, the lease can commence. We’ll also send you the employer notification for deductions. Subject to payroll cutoff, deductions for the novated lease may begin in the next available pay cycle.
Reconciliation advice
Postivie balance: Any positive balance is advised to your you via the reconcilation advice to reconcile against deductions taken via payroll and invoice payments made to SG Fleet. Manage via the pay file accordingly. Note: If you are on EFT set-up then we return the funds to you per our agreement to pass on to the employee. Negative balance: Any negative balance will be invoiced to you to be paid in our standard invoice terms.
