Publication criteria: only for PhD students with a first enrolment before academic year 2024-2025
'Publication' means an A1-ranking publication as defined on the ISI Web of Science indexes. The following table gives an overview of the type of publication that can or cannot be accepted to reach the publication criteria. The minimum criteria are met in the following situations:
Sole 1st authorship
- There are two publications with a sole 1st authorship (regardless of the ranking of the journal). - There is one publication with a sole 1st authorship in a journal with an impact factor belonging to the highest 25% of the research domain to which it is assigned (journal in the first quartile or Q1) and one manuscript with a sole 1st authorship submitted for publication (regardless of the ranking of the journal). - There is one publication with a sole 1st authorship in a journal with an impact factor belonging to the highest 10% of the research domain to which it is assigned (journal in the first decile or D1) and one manuscript with a co- or sole 1st authorship submitted for publication (regardless of the ranking of the journal).

Option subcommittee meeting
Subcommittee meeting: only for PhD students with a first enrolment before academic year 2024-2025
Submitting your PhD when you do not fulfill the requirements of a PhD research portfolio (new minimal criteria)and/or the faculty publication criteria (old minimal criteria) will take three steps: - First doctoral committee meeting: Please submit your 'My PhD' form and a motivation letter that clarifies: 1. The reason why the publication criteria have not been met, has been sufficiently motivated.
2. The results of original and high-quality research have been described in the PhD dissertation. The results correspond with a period of minimal 3-year fulltime research.
3. The results of the PhD research are coherent and centered around a well-defined research question. An A1 article, possible review, concerning the research question has been published with the student being the first author.
Please add a list of 10 possible jury members (7 researchers affiliated with Ghent University of which 5 are affiliated to the Faculty - 3 external researchers). The doctoral committee will decide whether the request can be accepted in order to start the procedure. - Faculty doctoral subcommittee meeting - Second doctoral committee meeting in which will be decided if the PhD student can proceed with the submission procedure based on the advise of the subcommittee.

PhD research portfolio: possible for all PhD students
The PhD student must submit a research portfolio that highlights their skills at various stages of the research cycle, as well as the professional competencies they have developed. The following submission criterion applies: ‘The PhD student has developed into an independent researcher and has acquired the scientific expertise and competences as reflected in the PhD research portfolio. Based on the doctoral research, the PhD student has delivered an original scientific contribution. The contribution leads to a doctoral dissertation with several research chapters, with at least one original research publication as (shared) first author in a peer-reviewed international scientific journal, an oral or poster presentation at an international scientific conference (i.e., a conference organized by an international organization) and a substantial initiative of societal outreach. PhD research portfolio: possible for all PhD students
The doctoral trajectory leads to an original scientific contribution that results in at least:
- A doctoral dissertation with several research chapters with at least one publication as
(shared) first author in a peer-reviewed international scientific journal. Take a look at the types of publication that (do not) qualify to meet the publication criterion - One oral or poster presentation at an international scientific conference;
- One substantial initiative of societal outreach. Take a look at the inspirational framework - A PhD research portfolio;
- A closed and public defence of the doctoral work.

From academic year 2026-2027 onwards (regardless of year of enrolment), it will only be possible for all PhD students to submit their PhD via a research portfolio!

Important note! The criteria described are the minimum requirements imposed by the Faculty of Medicine and Health Sciences for the submission of the doctoral dissertation. Please be aware that the examination board autonomously assesses the value of the submitted dissertation. Compliance with the faculty minimum requirements is therefore essential but not necessarily sufficient to succeed for the defence procedure.

(*) In case of a systematic review, protocol or technical paper, a manuscript with original research data is also required. The manuscript with original research data must be accepted/published or submitted for publication.
Furthermore, the doctoral student must demonstrate that the manuscript underwent a comprehensive review process, including the following timeline details: date of submission, duration of the review period, date of submission of the rebuttal letter and revised version, date of proofreading, date of acceptance, and date of publication.
