Welcome to AI as an Assistant
Why we are sharing this training
In 2024 we launched an internal version of this training, and it was a game-changer for our teams. Now, we’re sharing it with you! Keep in mind, this module won’t be updated as ChatGPT evolves—it’s a snapshot of what worked for us at Vend, shared in the hope it helps you too. To get started, you’ll need the desktop version of ChatGPT and at least a Plus license. Don’t worry—Vend will not collect any data from your session. Let’s dive in and see how AI can work for you!
Welcome to AI as an Assistant
What you will gain from this course
This course is an introduction to using ChatGPT as an assistant. You will gain:
1. Prompt writing efficiency
Using the CO-STAR framework to write prompts when working with ChatGPT
2. Hands-on experience with AI tools
to support you with:
- Personalised learning & skills development
- Improved decision-making
- Becoming more productive & efficient
- Boosting creativity & innovation
Welcome to AI as an Assistant
Course structure
- This training consists of four modules
- Each module contains one or two use cases
- Feel free to skip use cases if you are already confident in that area
- It is recommended to take a break after each module, not during a module
Welcome to the AI as an Assistant course
Requirements & recommendations
Technical requirements A ChatGPT Plus account is required. ChatGPT 3.5 accounts are not appropriate for this training due to the use of Custom GPT's that cannot be accessed without a Plus account.
Technical recommendations This course requires you to switch between the training and ChatGPT regularly. As such, it is recommended that you either work with two screens to allow you to have both open at the same time, or have one browser window for the training and one for ChatGPT if you don't have two screens.
Human Requirements Bring an open mind with you as you progress through the course. Be prepared to ask yourself if there are new ways for you to integrate AI tools into your daily work. AI tools are not perfect - sometimes the output is incorrect or simply does not make sense. This requires you to carefully analyse each output to ensure accuracy and relevance.
Welcome to AI as an Assistant:
Introductions
Get to know... ChatGPT provides the opportunity to create custom versions of ChatGPT that can be set up for a specific purpose. You will not create a custom GPT as part of this course, however you will interact with one to receive custom feedback to support your development as you progress through this course. This custom GPT has two characters:
Meet your new assistants:
GlowBot
GrowBot
An expert at making your work shine! Glowbot will: Give you kudos for a job well done and will provide feedback on what you have done really well.
An expert at helping you grow your knowledge and skills. Growbot will: Provide custom input on how you can continue to develop, based on your interactions with ChatGPT.
Welcome to AI as an Assistant:
Prompting
You will become familiar with the term "prompt" as you progress through this course. What does it mean? A prompt is the input or query that the user gives to the AI tool, such as ChatGPT, in order to receive a specific response. A prompt may include contextual information or examples that make it more likely that the AI tool will provide responses that are relevant and useful. A recipe for prompting You can think of creating a good prompt like a recipe. Including different pieces of information in your prompt will result in different outputs. By choosing the right elements to include in your prompt, you increase the likelihood of receiving satisfactory responses. There is a framework to support with this. The CO-STAR framework contains the elements that are beneficial to include in a prompt.

Using ChatGPT to support with prompt writing
This task is a little meta, so hold on! For more complicated prompts, it can be worthwhile asking ChatGPT to support you in generating a great prompt, rather that you writing the detailed prompt yourself. In effect, you are asking ChatGPT to provide you with the prompt that you will then be able to copy and paste into a new chat, which will then provide you with your event plan. In the first instance, you are not asking ChatGPT to plan the event. That comes afterwards. Why? The prompt that would result in detailed event plan would probably need to be long and detailed. Asking ChatGPT to write the prompt for you is a way for you to modify ChatGPT's prompt instead of writing the entire prompt from scratch, potentially saving you time while also adding detail.
Copy the following prompt, paste into ChatGPT and edit the red text.
I want to plan a meaningful social activity for a great two day physical team gathering for a newly formed multinational Nordic team working in a classified marketplace company. People from Finland, Denmark, Sweden, Poland and Norway will participate. We will gather in late May in <your home city> Objective: Suggest 6-8 social activities that will allow a group to have fun and build human connection. The group has diverse backgrounds, ages, physical fitness level and culture/nationality. The activity should take 2-3 hours including transportation. Cost should be moderate.
🤔 Reflect
Ask yourself...
- Do you see yourself using this?
- When would this work well in your work flow?
- When less so?
Copy the following prompt and paste into ChatGPT:
You are an expert on cooking and very good at providing step-by step instructions to non-experts, like Jamie Oliver. The cook is a beginner and has little experience in cooking. You will explain how to make at least three different grilled cheese sandwiches for a group of friends. They have very different tastes, so we need a mix of simple and sophisticated sandwiches. Provide step-by step instructions, like this: Shopping list (list of ingredients to buy, type and quantity) Preparations(step by step instructions on how to prepare) Making the sandwiches (step by step instructions) It is important that the instructions are correct, motivating and easy to follow. Ask me any follow-up questions you need to provide a carefully considered, highly accurate answer.

How you can use these AI skills in your work Using ChatGPT as a partner can help you solve problems and develop plans faster and more holistic. This is one particular area where paying attention to detailed prompt writing will help creating better and more thorough plans and approaches. Times when this can be useful are for kicking off projects, planning presentations and generating plans, where ChatGPT can give you a head start instead of starting from a blank canvas.

Make it Real: Use case 2
How you can use these AI skills in your work Answers from AI tools can dramatically improve in quality and usability by providing more context. By providing personalized instructions you provide that context automatically, with each and every query. This means that the generated answers will take into account your role, your IT equipment, the company you work in and your preferences and therefore provide more value with less work. As you continue to use AI tools, use "custom instructions" to provide the context needed without needing to enter it each time.
Make it Real: Use Case 1 & 2
How you can use these AI skills in your work AI tools can help you by speeding up tasks where generating outputs take a lot of time to do but where checking generated results is much faster (hard to make but easy to check). Examples include first drafts of plans, mails to write, formal and semi-formal documents and communication materials. They are also great for helping you with things you know how to do, but you may be hazy about the details. Finally, text to speech can translate your thoughts into text almost as fast as you can think. By combining careful prompting and iteration you can hopefully finish faster and reallocate your time.

Below is a text about the advantages of using dictation and ChatGPT together to communicate faster with more clarity. Please edit the rest of the text and make it a coherent, formal, well written message, suitable for sending to your supervisor or manager. ### I really think voice typing is a game changer for productivity. I'm thinking, let me explain that, or illustrate that with an example: now you can do a brain dump by talking to your computer. Then you can ask for help by chat, GPT to clean up the pros and make it more coherent. This can save a lot of time while still preserving the clarity of written communication. That your boss has asked you for a status update on the project you're working on: normally you would sit down and write that which is fair if you use dictation however you can rattle off all of the points that you want to mention and worry about form, and shaping the text a bit later. You will, of course still need to spend some time proofreading your message, but because the computer has been doing a lot of the heavy, lifting you will very likely spend less significantly less time to do so.

Welcome to AI as an Assistant
Course structure

Make it Real: Use Case 1 & 2
How you can use these AI skills in your work Using ChatGPT as a partner can help you solve problems and develop plans faster and more holistic. This is one particular area where paying attention to detailed prompt writing will help creating better and more thorough plans and approaches. Times when this can be useful are for kicking off projects, planning presentations and generating plans, where ChatGPT can give you a head start instead of starting from a blank canvas.

I am working in an online marketplace company. I want to better understand some of the terms we use. I have a background in <business, technology, UX design, social science, liberal arts, law>. First explain the term (as we would use it in a marketplace) in a friendly way that will make sense to someone with my background, then provide two example sentences where the term is used in a way relevant to me. Finally explain like I am 10. The term to explain is “EBITDA”.
