These are the Important and urgent tasks → Do nowExample: Responding to a client’s email about a critical issueThis task is both important (it impacts a client relationship) and urgent (requires immediate action).Action: Handle it right away to prevent further delays.
Important but not urgent → Schedule it Example: Preparing for a presentation tomorrow This task is important because it affects how well you deliver critical information, but it’s not urgent if tomorrow isn’t too close. You have some time to plan properly.Action: Schedule this task for a specific time today or early tomorrow to ensure it’s completed before it becomes urgent. Use a time block in your calendar to focus solely on preparation.
Not important but urgent → Postpone it Example: Developing a strategy for next quarter’s goals.This task is important because it impacts long-term success, but it isn’t urgent because it doesn’t need immediate action.Action: Schedule it for a dedicated time when you can focus fully.

- The 2-Minute Rule: If something takes less than two minutes, do it now - avoid letting small tasks pile up.
- Batch similar tasks, like answering emails, to save time.
- Use the Pomodoro Technique: Set a timer for 25 minutes, work without distractions, then take a 5-minute break
- Prioritize with the Eisenhower Matrix:
- Sort tasks into:
- Important & Urgent → Do now.
- Important, Not Urgent → Schedule it.
- Not Important, Urgent → Delegate it.
- Neither → Eliminate it.
- Plan Tomorrow Today: Spend 5 minutes at the end of the day listing your top 3 priorities for tomorrow.
- Eliminate Distractions:
- Turn off unnecessary notifications, and use apps or tools to block distracting websites.
- Start with the Most Important Task:
- Begin your day with the task that has the highest impact, often called "eating the frog."
