What is the story?
In 2022 GLA and OPDC moved to HR Shared Services (HRSS) with TfL.
Over the next 3 years, the HR system, called myHR will be moving to the cloud (which we are calling myHR Cloud)
The new modules mean external recruitment, onboarding and managing own details will be in one place.

When should I recruit via myHR?

Activating your myHR Cloud account
1. Click the link in the email you received. This link will take you to the Profile Manager service (this isn't myHR or myHR Cloud).
myHR Cloud is updated regularly. While we do our best to update our user guides to reflect this, you may find there are some minor differences between our guides and the live version of myHR Cloud.
2. Choose a new password.Your password must be at least 8 characters long, and must include 3 of the following: Uppercase letters, lowercase letters, numbers and symbols
3. Click 'Save'.
4. You'll be taken back to the Profile Manager main page. This isn't myHR or myHR Cloud. You don't need to edit any fields on this page.
Updating personal and diversity information
1. Log in to myHR Cloud. Then, on the home page, click on 'View my profile'.
myHR Cloud is updated regularly. While we do our best to update our user guides to reflect this, you may find there are some minor differences between our guides and the live version of myHR Cloud.
2. In the 'Personal information' section, click on the pencil icon.
3. Click on the calendar icon to select the date when you want the change to take effect.
4. Click on 'Add diversity information' at the bottom of the window.
5. Review the information and fill in any missing fields. For all fields, you have the option to either provide the information or select 'Prefer not to say'. When you're finished, click 'Save' at the bottom.
6. Click 'Proceed' to submit your information or 'Amend' to go back and make more edits.
7. Click 'Save' again to confirm your changes.

Rating your candidates after the interview
1. For the candidate you want to rate, click 'Rate now' on the right-hand side.

2. Rate how well the candidate has demonstrated each competency by clicking on a number (1=lowest, 5=highest).Leave a comment by clicking on the speech bubble icon.Upload your notes from the interview, or any proof of identity/proof of address photocopies made at the interview, by clicking 'Interview notes' and choosing a file to upload.
3. When you've rated the candidates, recommend the one(s) you want to hire by clicking on the person icon with a tick, or reject them by clicking on the middle icon with no tick.
4. Your changes won't be saved until you click 'Save' in the top right. You'll then get a message letting you know your changes have been saved. Then, click 'I have finished'.
5. If you want to change your rating, click 'Edit rating' in Interview Central.

Access to myHR Cloud
The Waitlist status is for candidates who could be suitable if your first choice of candidate declines the offer. You can also use this status for candidates who have already had an interview while you wait for all the other interviews to take place. You can use the sub-item 'Waitlist – pre-employment checks complete' if you have completed pre-employment checks while deciding whether to make the candidate an offer.
The statuses 'Forwarded', 'Invited to apply' and 'New applications' are only used by the TfL recruiting manager, and will be greyed out.
The 'Initiate Onboarding' status is for candidates who have accepted an offer and are now being onboarded.
Click 'Screen' to view candidates that have been longlisted by the TfL recruiting manager.
Better access to updating your personal information
You will have access to much more of your personal information than you had before and able to update your own personal data such as bank accounts and addresses without going through a service desk to make changes.
This information can be accessed on any device and via an app. Day to day personal HR activities such as: booking annual leave and sickness absence booking will remain on the existing MyHR

Click on the three dots to bring up the Candidate Operation Menu.
The Decline status is for candidates whose application has been declined by us because they stopped participating in the recruitment process, or didn't apply correctly. They may have:
- not completing an assessment they were invited to
- submitted a duplicate application
- not responded to an invitation to interview
- not attended a scheduled interview.
This icon tells you if a candidate is internal or external. External candidates have an orange person icon, internal candidates have a blue one.
Streamlined recruitment process with less admin
The new recruitment solution will replace the existing software Taleo. The overall recruitment and onboarding processes will stay the same but more of the tasks involved will be streamlined, reducing administrative burdens.
The system will be used to recruit external candidates for permanent, secondments and fixed-term contracts only
Click 'Forward' to share the applicant's details with a colleague. The colleague you want to share the details with must be listed in SAP.
The Hired status is for candidates who have completed onboarding and passed all pre-employment checks.
This status is for the successful candidate or candidates who are planning to make an offer to, or who haven't responded to an offer yet.

Click here to move the candidate(s) you've selected to a new status, for example if you've decided to Shortlist them, invite them to an Assessment or remove them from the process (Regret).
These are the candidates who match the status, or statuses, you've selected in the left-hand panel.Click on a candidate's name to view their application in more detail.

The Assessment status is for candidates who have been selected for an interview. The sub-statuses include three interview stages; you may not need all three. The candidate starts in the 'Assessment – Interview Central' sub-item for each stage, waiting for the TfL recruiting manager to schedule an interview. When they accept an interview, the recruiting manager will move them to the 'Scheduled' sub-item. If another interview is needed, the recruiting manager will move the candidate to 'To Be Scheduled' for the next stage. The 'Assessment - Interview Central' sub-item shows the number of candidates awaiting to be scheduled for an interview. The 'Assessment - Progress to Waitlist' sub-item can be used for candidates who have successfully completed an interview while you make a final decision on who to make an offer to.
The Regret status is for candidates who have followed the recruitment process correctly, but have not been successful. Move candidates to this status to reject their application.
