An in-depth look at tracking time and material (T&M) for snow jobs

Time & Material (T&M)

  • For T&M snow contracts, accurately tracking time and material is essential for a smooth workflow process.
  • Over the last few winter seasons, this has been an area that needs improvement.
  • The procedure for tracking time and material begins with the estimate.

Assigning Equipment

  • Accurate equipment assignment and clocking from the supervisor is essential for T&M jobs.
  • When equipment is assigned to a crew member, it will be listed under their job time in time entry.
  • Be mindful when swapping between work tickets.
    • If a crew member is switching over to a new ticket, the equipment they used for the first job will be clocked out once they do.

Time Entry

  • Time Entry is another area where we have had T&M misses last season.
  • If any time, equipment, or materials need to be added to the job after the fact, it can be done from time entry.
  • Before approving time entry, it's a good idea to double check the T&M calculation from the work ticket page.

  • From the work ticket page, click on the blue T&M Calc hyperlink under the revenue box to open the T&M calculation breakdown.
  • Item pricing should be pulled from the estimate
    • If the pricing tab shows that items are being pulled from the catalog, it's usually a red flag that there was a mistake with T&M somewhere along the line.
  • Notice that the equipment all have quantities of hours.
  • This is because the equipment rates include the labor rate of the operator as well.
  • The estimator should be sure to add the required equipment and material for all listed services.
  • The supervisor will only be able to assign equipment to his crew that was added to the estimate.
  • Always be mindful of the units for each material.
  • On the example below, you can see that there is a 1 ton bulk salt bag, but there's also a 50 pound salt bag.
  • Equipment operator time is NOT pulled from clock time.
    • Make sure that you manually adjust/round up time for equipment that the crew was using.
  • After finishing work, the supervisor should go back and adjust time entry.
  • This includes making any necessary changes to crew clock time, equipment, and material.
  • The supervisor can also mark the job as completed from time entry by clicking the completed check box under the desired service.
  • Most equipment has material that should be applied to it.
    • For example, the deicing truck has a 1 ton bulk salt bag attached to it.
