The challenge

In 2022, the company Inchcape acquired the operations of Simpson Motors in Barbados, Puerto Rico, and the Caribbean. The integration process begins with a focus on alignment, standardization, and digitalization of processes. In this context, two major key technological implementations for the region are initiated: Incadea+ SAP 4/HANA. The cultural diversity among countries and organizations, along with the still existing lack of alignment, represented a significant challenge for an implementation that had to be completed in record time and with high levels of adoption.

Objective: Integrate Incadea+ SAP 4/Hana within the established timeframe. How: Actively seeking the users' and teams' participation and enthusiasm. The key role of Mutta: CHANGE MANAGERS. Based on a successful proprietary methodology already applied in similar transformations and continuously reinforcing it with a lot of creativity.

Carolina Sordelli
Eduardo Taylor, Senior Change Management Consultant at Mutta, was responsible for designing those key spaces for co-creation and transformational dynamics with the teams.
She holds a Master's degree in Marketing and Commercial Management and is a specialist in Communication, which is why she was responsible for carrying out the branding and storytelling of the project, creating diverse pieces, and seeking creative ways to communicate with different stakeholders.
Specialist in Change Management strategy in the field of SAP and Human Resources, she provided advice on digital transformation and shared fundamental strategic knowledge.

She is the Founder and CEO of Mutta, bringing more than 15 years of experience in transformation and change, from a strategic and human perspective.

Music: Identity & Branding
The Band
We prepared and trained more than 50 Key Users in a period of 3 weeks, not only in tools but also in the attitude necessary to become drivers of change. We used music as a common thread, inviting them to connect with themselves and their culture in a different way. Who said that an implementation has to be boring? . We tuned the strings, got ready, and started to play!
We put ourselves in the role of a great musician and rockstar, and from his perspective, we designed and implemented a solution that addressed key aspects to achieve what we set out to do.
If Mick Jagger were a change maker
We explore identity through music, discovering in #1band1sound a universal link that drove the implementation. The project's branding, detailed in a brand book, incorporates key messages and design elements. This approach introduces attributes of collaboration, unity, and enjoyment within the team, reflecting our connection through music in the work process.

We provided the group with specific resources, strategically designed to enhance their role as agents of change: Indicators, practical and interactive guides, and easy-to-use tools.

Harmony in execution is very important, just like in music. Like discordant music, poor communication can cause confusion and obstacles. In contrast, harmonious communication ensures understanding and contributes to the project's success. We accompany each phase with clear and constant communication, prioritizing key attributes.

In a virtual session, we invited the Key Users to understand their own Journey, highlighting their importance as main interpreters, illustrating their role, responsibilities, and expectations of their level of contribution to the success of the project:

Onboarding The invitation to the orchestra
We conducted Change Management training, focusing on creating a unique vision within the team: our song. Objectives of the workshop:
- To build and learn while having fun, to develop as "change-makers," and to discover the potential of transformation.
- To understand the roles of key individuals and the process involved in achieving transformational potential.
- To emphasize the importance of understanding their organization's culture and its pain points.
- To teach them to identify barriers to change.
- To equip them with a toolkit for implementation and to ensure success.
Kick Off The tuning process began
- Aligned the participants under a shared strategy, highlighting the importance of implementation.
- Emphasized how stronger systems would allow them to scale, optimize processes, and improve customer service.
- Urged to see change as a beneficial challenge, identifying and minimizing detracting forces.
- The roadmap was presented, and we highlighted communication as a key factor for success.
- With a musical metaphor, we closed by inviting everyone to create a successful "Future Beat." "Let's create our own rhythm and make this implementation the best concert of all time."
The long-awaited day has arrived; we had a support system designed, established, and communicated. The Key Users were clear about their role and were motivated to interpret the score exceptionally.

The key users demonstrated an exceptional level of motivation and commitment to the project. The training sessions and the focus on fostering an open attitude towards change generated a highly committed team, willing to take an active role in the implementation.
Thanks to the anticipation and proactive approach to potential resistance, initial barriers were minimized. The key users, instead of resisting, adopted the new practices with an open mindset, facilitating a smoother and more efficient transition.

The high satisfaction score obtained (4.6 out of 5) reflects the effectiveness of the change management process. Positive feedback highlights the personalized attention, empathy, and ability to address individual concerns, thus contributing to an environment conducive to change.

Through the encouragement of active participation, change leaders were identified and empowered within the group of key users. These individuals enthusiastically adopted the new practices and became agents of change, positively influencing their colleagues and extending the acceptance of change throughout the organization.
