Assign responsibility

During this first step, the division of responsibilities among the appropriate teams and persons should be carried out. These are the people who will assess maturity levels and work on the action plans. Furthermore, in this phase the different deadlines and timescales for the digital transformation process are set.

Create action plans

The creation of action plans is an important step in the process of digital transformation of an organisation. JISC also provides some templates for action plans for use by the different stakeholder organisations. The aim is to use the templates to reflect on current maturity levels, to identify actions, KPIs, investment, responsible owners, relevant stakeholders, supporting resources, and documents, and to assign priority levels. Each organization can take the templates provided by Jisc and adapt them to their own needs.

Progress mapping

This process outlines the importance of feedback, communication, and recognition in the successful implementation of digital transformation initiatives. Integrating progress updates into the organization-wide roadmap, sharing successes, and celebrating achievements, organizations can enhance stakeholder engagement and create a culture of continuous improvement and collaboration.

Review action plans

Once the different action plans have been developed and assembled, it is time to evaluate and analyse them in order to assess whether they are aligned with an organisation-wide plan. It underscores the importance of adapting individual plans to fit the larger organizational vision, ensuring that resources, priorities, and timelines are managed in a way that supports the institution’s long-term digital transformation goals.

Assess Readiness

In order to assess the level at which an organization is in terms of digital transformation, and therefore to assess its readiness or digital maturity, it can use the digital maturity model of JISc, which we analyzed in the previous subchapter. The approach can be twofold, as it can either focus on the assessment of the maturity level across the activity area for the whole organisation, or it can focus on the assessment of specific parts. The ultimate purpose is to guide investment and transformation strategy within an organisation.

Collate action plans

In this step of the toolkit, the different produced action plans are collated and reviewed in order to assess and refine strategic priorities, produce an organisation-wide plan, and allocate investment. In essence, this process emphasizes the importance of collaborative planning, strategic alignment, and timing in ensuring that digital transformation efforts are coherent, resource-efficient, and aligned with the institution’s broader goals.Note: If the organisation doesn’t already have a strategy for digital transformation, the first four steps of this process could inform the development of a specific strategy or the embedding of digital transformation into existing strategies.

Implementation and review

Reaching this step of the toolkit, an organisation is now ready to adjust, if it's needed, and implement the action plans that have been deemed appropriate. This process emphasizes the importance of execution, flexibility, problem-solving, and evaluation in successfully implementing action plans for digital transformation. Organisations need to be adaptable and responsive while ensuring that they continually assess their progress against defined goals.

Reassess maturity

Revisiting and reviewing progress against the organisation's digital transformation strategy, roadmap, and maturity model is essential in the process of digital transformation. By continuously assessing digital maturity and strategy, organizations can proactively identify new areas for development and remain responsive to both internal and external changes.
