Team Leader Responsibilities

Team leaders have a number of responsibilities to ensure that the team is effective.

Planning the work of the team

Setting objectives and deadlines

This means considering all the different tasks for which the team is responsible and deciding which areas individual members should focus on, bearing in mind their strengths, experience and interests.

Objectives are short term and focus the achievement of individual tasks by the agreed deadline. Objectives should be SMART (Specific, Measurable, achievable, realistic and time-based).

Team leaders give the team clear and specific instructions so that everyone knows what they are doing and by when.

The team leader checks how the task is being carried out compared with the plan.

Team leaders embolden the team to achieve its objectives by offering incentives and exciting tasks, inspiring people with their personality and being supportive.

Team leaders ensure the team knows what is expected of them and keep them informed. Communication occurs through meetings and through technology, e.g. phone, email, and video-conferencing (Teams & Zoom).

Team leaders are responsible for making decisions, such as deciding on the best way of doing something or allocating team members to different activities. Some decisions, such as how to solve a problem, often involve all team members.

Team leaders provide feedback to the team and to individual team members on performance of a task. This may be done in the form of written report, appraisal, or verbal feedback.

Team leaders run team meetings and briefings. Meetings need a clear purpose and should involve the whole team.

Team leaders should monitor and manage conflict in the team, e.g. by stepping in when there is a disagreement and negotiating a solution that keeps everyone happy.

Team leaders support the team by getting to know people individually so that their needs are understood, by providing assistance or extra training and praising people for their achievements.

This is achieved through delegation of tasks, or dividing the work among team members, and through checking and ensuring that work is being completed to the right quality.

This means the leader is working closely with the employees on day-to-day activities (e.g. in team meetings, one-to-one meetings and informal contact), which should raise the standards of work and provide opportunities to bring out people's talents.

If you are a team leader, you should expect a lot from your team, but you will only get the best out of people if you treat them well.

Divide the work up fairly among the team and give people enough time to do it. Do not show favouritism by giving your friends the best jobs.

Do not leave anybody out and make sure that everyone is heard.

Show that you value team members, e.g. point out their achievements.

Ask for your team's opinions and use their ideas to make decisions. People then feel involved in the decision making.

Encourage people and help them when needed.

Try to be persuasive and clear in the way you communicate the team's goals and duties. Engage in active listening and questioning.

If you want people to work hard, you will have to work hard and be disciplined. Get your hands dirty and show people that you are not so special to do the jobs that you expect them to do.

If somebody in your team makes a mistake or if the team does not achieve its objectives, do not blame the people in your team. Accept that you were in charge so their failings are your fault. Perhaps you could have done more to support the team? Maybe your plan was not right? Maybe an individual needed more training?

Show integrity through being honest and truthful. You could demonstrate this quality by owning up to something if you have made a mistake, or through working in an honest way by always following company rules and procedures. To show consistency, you need to be predictable. Avoid going back on your decisions, do not blow hot and cold with your moods. If you are consistent people know where they stand with you.
