Step 1: Move-out Inspection
We conduct a thorough move-out inspection one day after the tenant's move-out date to assess the property’s condition. This inspection allows us to document any damages or maintenance issues that need to be addressed before the next tenant moves in. Performing the inspection promptly ensures that any necessary repairs or cleaning can be scheduled without delay, helping to minimize vacancy periods and maintain the property's overall condition.
Step 2: Inspection Review
Once we receive the inspection report from our inspectors, typically within 1-2 days after the move-out inspection, our Maintenance Manager and Pod Leader review the report. They compare it to the original move-in inspection report to identify any necessary repairs, maintenance tasks, or damages that need to be addressed. This comparison ensures a clear understanding of the property's current condition versus its initial state, helping to distinguish normal wear and tear from tenant-related damages. This step allows for accurate accountability and efficient planning for the next steps.
Step 3: Determine Responsibilities
Within 1-2 days after the inspection review, the Pod Leader will identify the necessary maintenance issues and repairs required to prepare the property for listing. This step includes determining which responsibilities fall under the tenant and which are the owner’s obligations, ensuring that all aspects of the property are addressed.Clearly defining responsibilities ensures a smooth process for both the owner and tenant. This step also helps avoid delays by outlining the next actions for repairs, minimizing any confusion about accountability.
Step 4: Share Report with Owner
The detailed inspection report, along with the breakdown of tenant and owner responsibilities, will be shared with the owner for review and approval. This ensures transparency and keeps the owner informed about the necessary actions to bring the property back to rental condition.By keeping the owner involved in the decision-making process, this step promotes clear communication, allowing the owner to approve or provide feedback on the necessary repairs and responsibilities, leading to faster resolution and a more streamlined turnover process.
Step 5: Acquire Owner Approval
GPS Renting will email the owner with a breakdown of repair costs and a default response deadline for their approval. Estimates for repairs that fall under the owner's responsibility will require their consent, while tenant-related repairs and mandatory owner repairs (e.g., CO detectors, smoke detectors, light bulbs, and safety-related items) will be handled automatically without further delay.
Step 6: Create Work Orders
GPS Renting will generate work orders for the necessary repairs and maintenance tasks. We will monitor the progress closely to ensure all work is completed efficiently and within the set timelines.By promptly creating and tracking work orders, we ensure that repairs are executed without unnecessary delays. This helps maintain the property’s condition and speeds up the turnover process, reducing vacancy periods and preparing the unit for listing as soon as possible.
Step 7: Deposit Return Processing
After all repairs are completed and work orders are closed, we will finalize the move-out calculations, including any deductions for damages or unpaid balances. Our goal is to process and return the tenant's security deposit within the required timeframe, in accordance with Washington State law (within 30 days of move-out).Timely security deposit processing ensures legal compliance, fosters positive tenant relations, prevents disputes, and allows for a smooth financial close-out, readying the property for the next phase.
Step 8: Listing Preparation
Once repairs and cleaning are complete, GPS Renting will ensure the property is fully rent-ready. This includes verifying that all maintenance tasks and repairs have been properly completed and that the property meets our quality standards. We will also confirm that all rental and marketing information, such as pricing and property details, is accurate and ready for listing.
Step 9: Owner Approval of Listing Info
Before the property is listed, GPS Renting will send the rental and marketing information to the owner for final approval. This includes confirming rental rates, property descriptions, and any marketing details to ensure everything aligns with the owner's expectations.Obtaining owner approval ensures transparency and alignment on key details, helping to avoid misunderstandings later on. This step allows the property to be marketed effectively and in a way that meets the owner's preferences, ensuring a smooth listing process.
Step 10: Final Property Check and Listing
The Pod Leader performs a final remote property check through AppFolio to ensure that all maintenance tasks and preparations have been completed. Once confirmed, we proceed with listing the property on all relevant rental platforms. A final property check ensures that the unit is fully prepared for potential tenants, minimizing the chance of last-minute issues. This attention to detail helps create a positive first impression for prospective renters and ensures a smoother leasing process.
