- The software is planned to follow Miles IT High Standards. Unless explicitly included in the project, any efforts described in the “when your situation requires” sections of our standards will involve additional effort and cost.
- The following are specific unknowns related to this project that could affect the timeline, cost, or vision.
- Timeline: Our team will work closely with yours to lay out a plan that will allow you to cutover to the new system by your hard target of TBD.
If any of these assumptions are not valid, a change order to address the impact on the solution, timeline, or budget will be provided.

Miles IT will perform a proctored walkthrough of the functionality and address any requirements or items that are not working as defined in the Scope of Work. All other activities will be addressed through as a change order or one-time project incurring additional costs.
Simple systems that are not business critical and do not have many business users/stakeholders.
Basic
Miles IT’s project manager will perform an end-to-end walkthrough of they system, gather feedback (up to 10 items), prioritize the feedback with your primary contact, and perform up to 5 points of updates per month.
Small projects where minor adjustments pre and post go-live to the functionality, layout, or workflows will improve the launch & adoption of the system.
Level 1
Small and mid-sized projects where a greater emphasis on pre and post go-live feedback and adjustments will provide value in the launch & adoption of the system.
The approach is similar to level 1, but is allows for additional feedback budget (up to 10 points) and includes up to 2 releases per month.
Level 2
Higher adoption levels include additional budgets for feedback and additional project management services to ensure more complex launches hit the mark!
Mid-sized and large projects where alpha and beta testing and feedback are important for a successful launch and adoption.

Ongoing Support
After your system has been developed, it is important to consider how you are going to support your system on an ongoing basis.
Miles IT can support your system through ongoing Support & Advance plans, which allows you to select from various services, including Helpdesk & Break/Fix Support, Miles IT Cloud Hosting Services, Proactive Security Services, Performance Analysis & Improvement, Proactive Tech Upgrades, and System Updates & Evolution. If you have or plan to hire in-house or 3rd party development resources to support your system, we can help through either a One-Time Transition Project or on an ongoing basis through our Stand in the Wings Plan.
We DO NOT recommend leaving your system unsupported. Your system can becoming vulnerable to security risks; disaster recovery & backups will be your responsibility, and expired certificates or deprecated technologies can cause your system to stop working.
It is important that we understand the plan for how you plan to handle support so that we can proactively approach our plans for deployment, knowledge transfer sessions, and other factors. The current plan is for Your Team to handle support after the development and adoption of the system are complete. If this changes, additional efforts and costs may be necessary.
Once the project is complete, you systems will no longer have an assigned team and your environments will be archived unless you maintain an ongoing software support plan with Miles IT.

Next Steps
- You will be provided with a login to our Customer Portal where you can further review the scope of work, and you will have the option to approve the proposal.
- Once approved, we will assign a project team to work on the Vision to Reality stage of your project. Assignments are typically done 1-2 times weekly.
- Upon assignment, your Project Manager will contact you immediately to schedule our kickoff meeting & begin our services.

As part of our standards, we have a project manager assigned to your project with the responsibility of defining and maintaining a project success plan, including key milestones, target dates, and work that is pending, in-progress or complete. We will work with a primary point of contact on your end to provide a real-time project board showing milestones, target dates, open items, and project status. For projects that involve more than one release, we monitor and review the project timeline and budget with you to coincide with each release. We will lead status calls every other week during development and 1-2 times per week during the Adoption Program.

Rapid Development: No Delays Between Stages
When following our staged development approach, we assign the development team once the development stage order is approved. This can result in small delays between the completion of the Vision to Reality stage and beginning of development.
When following our rapid approach, we immediately assign our development team and submit approval for demo releases through the entire project. We will handle adjustments to the budget through change orders. In the event you put a hold or stop the project, you will be responsible for all work completed, plus cost for pre-allocated resources that cannot be re-assigned.

Our technical lead will perform code reviews prior to each release.
