Kick-Off Kit Orders

Kick-Off Kit Orders are typically sent from our Kick-Off Kit hub at a set date range from the fair. If the fair is closer than the designated cutoff, the order will ship from a designated, more localized warehouse that has limited quantities of these items to allow for rapid shipment. Kick-Off Kit quantities and items are also based on the enrollment, profit option, set-up date, and Fair Type on the opportunity.

  • Changing Fair Type or Profit Option to one that requires different marketing materials will result in the order being changed or a new Kick-Off Kit order being sent if the dates are after the Kick-Off Kit order has printed.
  • Set-up date changes will cause an update if the new dates change what marketing materials the school will receive.
  • Updating Enrollment prior to the Kick-Off Kit printing will update the quantities on the existing Order. If the order has already printed, a PK Restock Order for the Kick-Off Kit will be required to add additional quantities.

Kick-Off Kit Restocks (abbreviated as PK Restocks in Salesforce) are manually created orders to send promotional and marketing items that are part of the Kick-Off Kit to the school in advance of the fair.Kick-Off Kit Restocks are only to be used in the following events:

  • A chairperson makes a specific request for certain components in a larger quantity than what already comes in the Kick-Off Kit
  • An enrollment change is reported after the original Kick-Off Kit has already printed or shipped.
Since this depletes local inventory, it is an order type that should be used with caution to avoid shortages in materials.

Marketing Orders

Marketing Orders are designed to be sent during the fair for fair merchandising items, Point-of-Sale machines, and accessories that the customer may need. Additionally, they can be used to order labels (Call Tag) to send back boxes of products or items accidentally left behind at a school. When ordering these items refer to the Seasonal Marketing and Product Resources to ensure the correct items are ordered. Pay special attention to the quantities because many of these components are packs containing multiple items, as seen in the image below. Click on the image to learn more!

Restock Orders

Restock Orders are placed during the fair and allow the BFC to order replacement amounts of various titles that have sold out on the fair. While it is possible to add non-advertised titles, we have limited quantities of these titles. Ordering these dramatically increases the likelihood of customer dissatisfaction due to out-of-stock conditions. Restock orders can only be placed from an Opportunity in Salesforce. Fair consultants are not expected to place restock orders. Restock Orders should be handled by Customer Care. In order to preserve inventory and ensure other fairs have the product they need, Restock Orders are limited in how many can be placed, how much retail value the order can have, and at what point during the fair they can be ordered. Please refer to the Restock Guidelines for the most up-to-date guidance and information on any exceptions. Using the language from this guidance is key for setting the correct expectation and avoiding a negative experience for your customer.

Paid Orders

Paid Orders should be used when the BFC has already collected payment for an item. The most common use for these is when an advertised title is unable to be restocked because it is the end of the fair, but a student still wants to purchase a copy of a book. A Paid Order should be placed at the end of the fair for situations like these. The Chairperson can take payment from the student and we will fulfill that copy of the title. There may be other times you place orders like these at the request of Operations or your leadership team. Paid Orders also allow for individual item ordering and are created from an Opportunity. As with Restock Orders, using your resources for item numbers is best practice to ensure you are ordering the correct item.

Comparing Paid Orders and Restock Orders

One of the primary differences between a Restock Order and a Paid Order is that we try our best to fullfill paid orders since the BFC has collected money for the item. However, it is not a guarantee the titles will be available although we do expect most to be available for paid orders. Paid Orders should only be placed for advertised titles or in special situations where inventory quantities are confirmed per our company process.Paid Orders also may not be fulfilled immediately and may be held for a short period while the warehouse waits for quantities of an item to come back from another fair. On a Restock Order, if an item is unavailable at the time of ordering, the Order will go out without that item or be cancelled if it is the only item on the Order.

Pre-Fair Orders

Pre-Fair Orders allow for the order of individual items like books. They do not allow for the addition of fair components or marketing materials. This type of order has guidelines around how it should be placed and requires certain approvals. Your guidelines on Restocks and Order Processes will have this information. Pre-Fair orders are used to place orders for specific titles when the Chairperson has requested them to be sent ahead of the fair to accommodate a special event like an author visit. This means that the titles will ship in boxes to the school instead of arriving with the fair. Only one of this order type is allowed per Opportunity, and this type of order can only be placed from the Opportunity.

Fair Addition Orders

Similar to Pre-Fair orders, Fair Addition Orders allow for the order of individual items like books. They do not allow for the addition of fair components or marketing materials. This type of order has guidelines around how it should be placed and requires certain approvals. Your guidelines on Restocks and Order Processes will have this information. Fair Addition Orders are specific titles ordered in advance but delivered with the fair. Again, as with Pre-Fair orders, these are to accommodate special events like author visits. Since Fair Addition orders go with the fair, if they are created within the routing window, they will require an Urgent Change Request. Only one of this order type is allowed per Opportunity, and this type of order can only be placed from the Opportunity. Like Fair Orders and Planning Kit Orders, this order is not submitted. It should be created and left in an Open status.

Invoice Orders

Invoice orders are used when a school would like to order product for their school from a warehouse and be billed for it. This order type allows for individual items to be added and is available on Opportunities and Accounts.

Scholastic Dollars Orders

Scholastic Dollars orders are completed on the Account or Opportunity and allows for individual items to be ordered. This order type will deduct payment from the customer’s Scholastic Dollars account.

Pre-Sale Orders

Pre-Sale orders happen on select hit titles in advance of their release. Processes for these orders are released for each title so guidance on how to submit will be provided once the pre-sale is announced.

Kick-Off Kit Order Contents

The contents of the Kick-Off Kit are seasonal and can vary based on where the set-up date of the fair falls against the seasonal effective dates. These are the dates that determine when product and merchandising materials change. An example might be a January fair that runs prior to the Spring seasonal effective date. This fair would receive Fall marketing and product. You can validate this by reviewing the Kick-Off Kit Packing Calendar.

Paid Order Contents

Paid Orders contain items that have been purchased by students that have been unable to be restocked because it is the end of the fair.

Restock Order Contents

Restock Orders contain replacement amounts of various titles that have sold out on the fair. Restock orders allow for ordering copies of individual titles. The most efficient way to do this is using a product resource or the restock order forms to get the item numbers to add. The image below shows an example of item numbers in a resource. Marketing Order Contents

Marketing Orders are designed to be sent during the fair for items like:

  • Fair merchandising items (table signs, book easels, etc.).
  • Point-of-Sale machines and accessories.
  • Marketing components that may be missing or may have been left off.

PK Restock Order Contents

These types of orders contain the same promotional and marketing items that are a part of the Kick-Off Kit. Like the Kick-Off Kit, they vary based on season and where the set-up date of the fair falls against the seasonal effective dates.
