How to create the ISF Filling?

Before you start, verify you are logging in under the correct organization:

From the top left section, go to “Jump”

Move to the bottom left section and click in Options then Change Company, Branch and Department:

Origin

  • Once the ISF process is changed to the new one, origin must no longer enter the ISF module
  • ISF 10+2 to be done via CW1 tasks
  • ISF 5 to be done via mail process
  • PDF form will be created outside of the system

Origin responsibility

  • Search and monitor Shipments that require ISF by using the search filter
  • XGLB – SEA – 7. Origin ISF Check
  • The different colors show the status of each Shipment and what must be done
  • Blank / white: Origin must send ISF info to the US (> 72h ETD)
  • Orange: Origin must send ISF info to the US (< 72h ETD)
  • Blue: Origin has sent ISF info to the US
  • Yellow: US is working on the ISF filing (> 24h to ETD)
  • Red: US is still working on the ISF filing (< 24h to ETD)*
  • Green: ISF is filed successfully

*Follow up with the US team as the Shipment is at risk of a late filing

  • Enter the Shipment and add ISF relevant data if needed
  • Enter responsible US Destination Branch on Shipment -> Delivery -> Delivery Agent

  • Have ISF Information Sheet filled by the shipper. If the customer has his own ISF sheet this can be used as well.
  • upload ISF Information Sheet in eDocs under Doc Type ISI
  • commercial documents should already be in eDocs

  • After uploading the ISI the task S25 „Sent ISF“ should be set to CLS automatically
  • Task S12 „Confirm ISF Completion“ gets assigned to US Destination automatically (TG US FIS)

US destination responsibility

  • US destination branch searches for shipments, where task „Confirm ISF Completion“ is in status ASN and they are mentioned as delivery agent
  • US destination branch is checking the data they received from origin and reaches out back to them if anything is missing

  • Check whether HWL US Brokerage, or 3rd party broker is responsible for ISF
  • If HWL: assign task to US Brokerage team (TG US BRK)
  • If 3rd party: forward ISF documents to 3rd party and set task to WRK (TG US FIS)

  • Check whether HWL US Brokerage, or 3rd party broker is responsible for ISF
  • If HWL: assign task to US Brokerage team (TG US BRK)

  • ISF acceptance status is received via CW1 (ISF Bill Status S1 in Shipment)
  • Task „Confirm ISF Completion“ status changes to CLS automatically
  • Option 2 (3rd Party Broker):
  • US destination receives ISF acceptance from 3rd party broker (S1 status will not be available on Shipment)
  • Uploads ISF acceptance to eDocs under doc type ISF
  • Task „Confirm ISF Completion“ status changes to CLS automatically
  • ISF is filed!

ISF 5 Process for Both when Origin is Hellogic or Cargowise

In transit Moves (FREIGHT MOVING THROUGH THE US or FROB)

  • If the cargo is “Freight Remaining On-board (FROB)”, or moving In-Transit through the US to Canada or Mexico, ISF 5 is required.
  • Origin must send ISF 5 information to US HWL Broker Department Centralized email: US-ISF5@hellmann.com
  • Deadline, ALL shipments must be sent via email to US HWL Broker Department at least 72 working hours prior to sailing, if not it will be considered LATE
  • Minimum required Data Elements for ISF5;
  • Booking Party
  • Ship to Party
  • Place of Delivery
  • Commodity HTS # (6 digit level)
  • Port of Lading & Foreign Port of Unlading
  • Please note that a ISF processing fee of $65.00 will be billed to origin for the ISF filling

Email Communication Requirements

  • Origin must follow this format for email subject line; (New ISF 5: POL/ POD / ETS: MM.DD.YYYY, HBL#)
  • Origin must send ISF 5 information to US HWL Broker Department Centralized email: US-ISF5@hellmann.com
  • Make sure to include in the email message any data element that is missing on the ISF 5 Form.
  • It is very helpful to provide Master Bill of Lading Number and Shipping Line to US HWL Broker.
  • They use this information to track the shipment to get accurate ETD/ETA – Loading/Unloading ports.
