This guide will walk you through your Virtuous database and some of the features you should check out along the way.

Now that you've logged in, set up your dashboard!

Click on the plus icon to view widgets designed for nonprofits you get right out of the box! You have the option to create widgets in our report tool. As you build, you can create custom dashboards you can share with your team. So many possibilities!

A Contact Record is like a house. It's one house, but mulitple individuals can live there and they are unique!

To create your own Contact Records, just click on the person icon on the top right of the screen.

Let's customize your database!

Custom fields can be added to several different areas. Create contact and indvidual custom fields. Custom fields can be date, list, multiselect, links and more!

Tags are a great way to target or segment your audiences. Tags on contacts can be added and removed manually, through a query, and through automation

Explore Customizations and Tag Management you can add to the database.

Now that you've created tags and custom fields, go ahead and add them manually to your contact records! Tags live on the left hand side of the record, if you created an individual custom field, click on an individual record and edit to view and add.

Next, add data to a contact record!

Manual Import

Use this option if you have offline gifts that are not already in a CSV file (ex: a stack of checks).

  • Set defaults to speed up the gift entry process.

  • Use the quick search option to search for a donor by name, ID number, email address, etc. Virtuous will display potential matches to the right and allow you to choose the correct one.
  • Remember the following when entering gifts:
    • Marketing segment - tracks the gift back to its source
    • Project - indicates where the funds are designated
  • If the gift is similar to a recent gift, you can click the copy gift button on the right side of the screen to copy over those gift details.

Copy an email from a Virtuous template, and check out this article to learn more about editing your email.

Bulk Import

Use this option if you have a CSV file of gift or contact data that you’d like to upload.

  • Utilize the gift import template or contact import template to ensure that your headers are correct.
  • Virtuous will perform matching for the items in the file just like it does for those received online.
  • Make the needed updates in each bucket to move everything to the Ready for Import bucket.
Authenticiation

Domain authentication is key to successful email communications. It prevents email fraud and improves deliverability by proving to inbox providers that you own the domain you're sending from. In other words: it is a large step in ensuring that your marketing emails successfully land in your recipients' inboxes and not their junk folders.

Online Gifts

For online donations, a bundle of online gifts received the previous day will be waiting for you each morning.

  • Virtuous does as much matching as it can for you - matching on first name, last name, email address, phone number, and physical address.
  • The gifts are placed into 3 buckets for review.

Match Needed will show you any donors that didn’t produce a match, so you likely need to add that person as a new contact using the button provided in the tool. Update Needed will show any donors who matched to an existing record, but they have updated information (perhaps a new email address or mailing address) that was submitted with the gift. Virtuous asks you if you’d like to ignore this new information or add to the record before proceeding. Ready for Import will show donors that are good to go! Everything matched appropriately and we weren’t given any new information.
