Throughout this course, you will learn the basics of ezyVet. This course and the ezyVet Intro 2.0 are designed to help you understand the functions of ezyVet and navigate the platform. In a future course, ezyVet @ ADG, you will learn more on how to best utilize ezyVet with ADG specific workflows.

Understand the Calendar function in ezyVet. This includes scheduling, editing, and cancelling all appointment types for your clinic.

Module 1. Navigation

Understanding each of these tabs on the navigation bar is the best way to support your client and patient needs. As you explore each of the tabs, you will understand what to expect when selecting that specific tab. While you will learn about each tab during this module, there will be a strong focus on the Dashboard, Contacts, and Patients tabs. You will be able to preview the different aspects of each of these tabs in greater detail.

Selecting the Clinical tab will pull up the screen shown on your right.

  • From this screen, you can search for a clinical record from client or patient information.

This tab is home to an abundance of resources on how to use ezyVet. If you are needing support, you can search in this tab, locate customer support contact info, or submit a ticket to ezyVet. You can also store your clinic's SOPs here.

If you need to locate a payment, invoice, or sales template, select this tab. Note: Using the sales template without saving it is an easy way to price check something.

To edit templates or customize your clinic's ezyVet, your PM or Supervisor can submit a Support Portal ticket OR use this tab to do so.

This tab will be used most commonly for EOD reporting.

In summary:

ezyVet can be ezy to navigate! By understanding the navigation bar, you are able to more quickly access what you need. There is no singular right way to complete a task or search for information, because there are several ways to accomplish any task or search! This course was created to highlight the most common paths, but we encourage you to explore additional ways that may be effective and efficient for your workflow.

Module 2. Calendar + Appointments

During this module, you will explore the Calendar. When using the Calendar, you will be able to book appointments, view your clinic's appointment schedule, make scheduling adjustments, easily access ready to sign documents, and even add client notes. The Calendar is the central hub of information when it comes to navigating through ezyVet.

Creating a new Appointment

This video clip walks through creating an appointment on ezyVet. Follow along with the red arrows in the video as they indicate what to click for each step.

Calendar Context Menu

Examples of tasks that you can do directly with the context menu:

  • Make changes to appointment information (for example, the appointment date and time)
  • Change the appointment status
  • Open the appointment's patient record or client contact record
  • Open the appointment's clinical record
  • Send Client confirmations
  • Print documents (for example, consent forms and labels)
  • Open active invoice + Take Deposit
  • Do client callbacks
  • Add the patient's weight by selecting clinical notes

Calendar Shortcuts

Shortcuts from the Calendar Context Menu.

Additionally, you can easily create client communications or quickly access consent forms for clients without having to pull up the patient or client record.

By selecting Edit Appointment, you will be taken to the Details window for the appointment to make any necessary changes. To cancel an appointment, select Cancel/Delete and then indicate the reason for removing the appointment.

Each clinic may use Statuses differently depending on pre-determined workflow. The Status feature can be useful for all of your teams to track a patient's progress throughout their visit.

In summary:

The Calendar is the central hub for all things ezyVet. Not only can you create and edit appointments, but the calendar allows you to access communications, create consent forms, and even check the client out at the end of the appointment. From the Calendar, you can also access the Clinical Record. In the next Module, you will learn more about the Clinical Record and how to navigate one.

Module 3. Clinical Records

The Clinical Record is where all exam, diagnostic, and medication information for each patient can be found. Within the clinical tab, you will be able to see all historical patient information, and create new requests or exam notes for their current visit.

In summary:

The Clinical Record will be each patient's database of medical history. What is great about the Clinical Record, is that regardless of what you are adding (meds, notes, diagnostics, etc.) the steps for completing each task are relatively similar. Using the Templates provided in each step will aide in expediting your clinic's workflow and notes. Your team can work with your PM to further personalize these templates to your clinic's specific needs.

Contact record search

To find contact records quickly and easily, you can enter many types of information in the search box of the left sidebar. The contact record information for search that you can enter is as follows:

  • Email addresses
  • Mobile phone numbers
  • Landline phone numbers
  • Fax numbers
  • The name of a contact method
  • Physical addresses
  • Postal addresses
  • Code
  • First name
  • Last name
  • First name of the Secondary Contact
  • Last name of the Secondary Contact
  • Business name
  • Website

eReferrals

  • Shows information about patient referrals synced with an online patient referral system.

Note: ezyVet shows the eReferrals module after ezyVet customer support enables the eReferrals module.

Lost and Found

  • Shows records of lost pets that are in the organization.
    • If applicable, you can make a relation between a lost pet record and a patient record.

Communication

  • Where you will find all callbacks and communications generated from automated tasks.
    • You will the callback button for all communications.
  • You can also use the Communication dashboard tab to find, send, and print messages.

Note: If the Communication dashboard tab shows a red color, ezyVet has communication records that have the Pending status. Use the link below to learn more about the Communications tab from ezyVet Support.

Medications

Show information and do tasks for:

  • Medication dispenses
  • Medication refills
  • Medication prescriptions

NOTE: This tab will not be used widely across ADC.
Diagnostic Results

After a Diagnostic Request has been processed, and results have been submitted, the request + results will be moved to the Result section in the clinical record.

ezyVet can automatically send you a memo when it receives diagnostic test results and diagnostic imaging results from a diagnostics supplier.

Diagnostic Memos

ezyVet sends memos to: The veterinarian that a staff member selected in the initial diagnostic request The veterinarian that a staff member selected in a diagnostic result that does not have a relation with an initial diagnostic request

Work List
  • The Work List tab has almost the same function as the Diagnostics tab. But it only shows:
    • Diagnostic test requests that are pending results.
    • Diagnostic test results that are unallocated.

Note: The Work List dashboard tab shows a red color:

  1. If a diagnostic request does not have a related diagnostic test result.
  2. If a diagnostic result does not have a related clinical record.

Follow the below steps in the video:

  1. Click the + next to Procedure.
  2. Begin typing or search for the appropriate procedure. (This will prompt automatic billing triggers to load).
  3. Begin typing procedure notes, or search for a Template to automatically populate procedure notes.
  4. Click Add + Close to exit this window when finished.

Patient record search

Calendar -> Clinical Record

  1. Double click the appointment on the calendar.
This will automatically pull up the clinical record for that appointment.

Contacts -> Clinical Record

  1. Click the Contacts tab.
  2. Select the correct client.
  3. To the right of the Details tab, click Related Records.
  4. This will provide you with the patient history.
  5. Select the clinical record you would like to open.

  • Shows appointment information that is related to the organization's clinics. You can also:
    • Check your clinic's waitlist
    • Change the appointment status of many patient records at the same time

  3. To the right of the Details tab, click Clinical Records.
  4. This will provide you with the patient history.
  5. Select the clinical record you would like to open.

  2. Select Provider.
  3. Search or start typing the medication.
  4. Verify quantity.
  5. Enter instructions for the medication.
  6. Click Add + Dispense or Add + Dispense + Print.
