Whether the person you're talking to is your colleague, manager, friend or family member, there are a few guidelines to follow in order to give effective feedback.
Before
- Prepare yourself before meeting the person
- What are the facts to highlight to refer to a result or a behavior ?
- Why did you notice it ? How is it annoying for the company, the team or the project ?
During
- Say "I"", to show you take responsability of what you are saying
- Find the right place : avoir sharing a feedback in front of other people or quickly between two meetings
- Be careful with the "You" that might sound agressive or accusatory: "You did this...";"You did that"- Be caring and indulgent. Step into your interlocutor's shoes (empathy)
- Go straight to the point
- Avoid saying "But", the message will be clearer
- Avoid generalities : "You always do this", "You never ask this" or "..." in emails
- Ask questions
- Avoid sharing your beliefs or opinion
- Set up a virtuous circle : when I just shared feedback to somerone, I ask a feedback as well on this one
2. Find the right moment and tell your interlocutor you want to share your feedback :
- "I've received your document and I would like to share a few thoughts"
- If one of you is not available or under a lot of negative emotions, postpone your feedback.
- One feedback = one topic
- Share feedback as soon as possible (within 48h is the best timing while the situation is still on your mind)
