Across the top of your BillMax browser, you will see these sections side by side, hover over each arrow for a description
Once you have viewed each of the section descriptions, click on the Billing Tab along the top
This is the first subsection, "Invoices/Transactions", under the Billing Tab. First we are going to review over each of the column headers. Click on each arrow for more information. After reviewing each column, click Next.
This page shows a history of all billing invoices and payments that have been sent and received. We will use this tab most often when working with customers because when it comes to understanding the general "billing history", this is the most informational tab to use. You will see a chronilogical history of all invoices, payments, refunds, returned sales, credits issued, etc. The history will be broken down and sectioned by each billing cycle, which you can see represented by each solid grey line. Any transactions listed below the grey line belong to the due date within the grey line.

Now that you have an understanding of what each column means, you can read each line item of transactions. Again, reading from the bottom to the top is useful to see the full overview. You can also see how this aligns with the dates explained in your prior training session.
From this you can see that on 2/14/2024, an invoice posted to the account for their 2022 Rural Pro 6 Tree service. The billing cycle dates are 2/24/2024 - 3/23/2024. As stated previously, invoices are posted 10 days prior to the start of each billing cycle. This invoice number 21 posted for $131.95, which means that on 2/14/24 they had a balance due of $131.95. As this customer is also on auto pay, their payment automatically processed on 2/20/24, 4 days prior to their due date of 2/24/24
This first column shows the "Post Date". What this means is that it shows the date that each type of transaction was posted to the account. The Type column will show you what kind of transaction was applied
For example, On 2/20/24, a payment was made. On 2/14/24, a new invoice was posted to the account
These next two columns show the Transaction Numbers and Employee who completed the work on the account. If the employee is "billmax" that means it was done automatically during our nightly batch processing
For example, on 2/20/24, payment #11654960 was processed automatically. On 2/14/2024 Invoice #21 posted automatically
The "Tender" column will show you the type of payments that were made. These will only appear on payment lines, not invoices, sales, or credits. If the payment were made with Cash it would simply say "Cash". If it were made with a check, it would say "Check" with the check number
For example, these two most recent payments were made by a MasterCard
The "Description" column will show you more information on what the charges are for. Payment descriptions will always say "Thank You!". For a new invoice, you will see the service plan being billed, the billing cycle dates, and the customer's username
For example, you can see that this customer has a billing cycle of 2/24/24 - 3/23/24 and they are on the 2022 Rural Pro 6 Tree plan. The customer's username is brookemardeisch@digitalpath.net
The "Open" column is helpful to determine which invoices are paid or unpaid. If the invoice is paid, this column will be blank. If the invoice is unpaid, there will be a "Y" under this column.
For example, this customer has no open transactions, their billing is paid up to date.
This "Due Date" column shows when each invoice is due. Do not confuse this with the "Post Date" column all the way to the left. Payment line items will be blank under this column.
For example, this customer's bill is consistently due on the 24th of each month
This "Amount" column refers to each individual line item, it is not a running balance.
For example, the first line shows that a payment was made on their account for $131.95 and their previous invoice posted for $131.95
This final column shows you the running balance on the account. It is usually helpful to read this column from the bottom to the top to get a better understanding.
For example, the invoice posted for $131.95, followed by a payment of $131.95, which brings the current overall balance down to $0
