Welfare & Wellness Checks
Wellness Check-in Usually initiated by Wellness Center/CRC Reasons may include risk of self-harm, student of concern has missed appointments and is not responding to outreach, or unknown reasons
Welfare Check: Usually initiated by DCS or directly by friend or parent Often lacks express concern of imminent harm to self or others - and may lack any detail or reason at all

What is our protocol? We don’t conduct welfare checks that are requested without a stated imminent safety concern History of mental health concern is not an indication of current imminent risk FERPA applies - We can’t acknowledge to family/friend whether individual is a student or resides in hall. Behind the scenes - a prostaff can outreach to student/go to door to check in and say someone called looking for them and request they get in touch with that person. Offer resources if needed. Do not report back to family yourself.
Reminder: Keying into a Student Space
As a rule, we do not key in without cause and authorization Cause: Known safety concerns CRC requests key-in based on confidential clinical information Someone reports critical information such as the individual has harmed themselves or is injured or critically ill or in imminent danger Not cause: Campus Safety requests key in without any of the above information A family member says their student isn’t responding as expected No imminent safety concerns are known History of mental health issue is not a safety concern Authorization: Contact Admin-on-Duty, ADRW, CAD (or any member of central team if not available) before keying in

- Distinguish from guest policy violation - if it was seen that the individual was brought in by a resident, that is a guest policy violation and not a trespasser. No door to door search will be implemented for a guest policy violation

New: Trespasser Protocol
- Objectives for Responding Prostaff:
- Coordinate the effort between RLHS, Campus Safety, and NYPD (where applicable) to identify, locate, and remove the trespasser from the building, while maintaining a prostaff presence in the building to lead the effort to communicate with and respond to student concerns.

- Distinguish from guest policy violation - if it was seen that the individual was brought in by a resident, that is a guest policy violation and not a trespasser. No door to door search will be implemented for a guest policy violation
New: Trespasser Protocol
Key Points of Policy:
- First staff aware should immediately notify Campus Safety if it wasn’t originally reported by Campus Safety, as well as CAD or Admin-on-Duty
- CAD or Admin-on-Duty to notify Executive Director, who will coordinate with CS leadership to provide direction
- CAD/Admin to report to scene along with:
- Daytime: BLT and, if needed, other available prostaff
- After hours: zone IRT and, if needed, additional IRT and RH(A)Ds-on-duty. BLT should report if available.
- Number of staff needed on site TBD based on whether a door to door search is indicated
New: Trespasser Protocol
Key Points of Policy, continued:
- CAD/Admin will coordinate with lead CSO/NYPD on scene and will communicate with Executive Director regarding next steps and plan for communication with residents
- Building-wide communications to be issued via email (template provided) and via Campus Safety text blast
- Prostaff to accompany CSO/NYPD throughout building
- If door-to-door search is required, all universal keys should be obtained and staff/CSO/NYPD should divide into groups to conduct the search simultaneously in different areas of the building
- Plan of action to be determined based on specific circumstances
- Written policy intended to be a guide, not an ironclad blueprint. Use your best judgment and consult as necessary.
Clarification: Alcohol Transports Post-IRT Hours
When alcohol or medical transports occur after IRT hours, the RH(A)D-on-duty will get the call. How do you decide whether you need to report to scene? Report to scene if:
- Student’s condition is described as unconscious (unable to be roused), unable to communicate, is injured, reports a secondary concern (i.e. violence or other)
- Student’s condition or identity are not known
- There is a related community need (distressed friends, facilities concern)
- Ask CSO to call you with any updates as you make your way over
- EMS is already present and the transport is underway
- The student is identified and their condition is described as non-severe (awake, communicative), and there are no secondary concerns
- There are no associated community concerns
- Ask CSO to collect details to report back to you
