Who has responsibility?

The absent employee

What should be done?

The absent employee should inform appropriate person, their service leader or line manager, as per the absence reporting in HR06

When?

This should be done the first morning of the absence, as per the policy

How?

They should do this by telephone call. Texts, social media and emails are not acceptable.

What should be done?

Let HR know the staff member is off sick - complete the HR Sickness Report Form

When?

On the day someone calls in sick, so HR are aware of timeline

How?

What should be done?

Ongoing Sickness

Keep manager updated on their progress/sickness

When?

For the duration of their absence

How?

Frequency and communication will be agreed between them and their line manager/service leader

Return to Work Form

1st or 2nd absence in 12 months >

Line Manager or informed colleague

3rd absence in 12 months >

What should be done?

Complete a Return to work conversation and the revised RTW form with line manager on return to work

When?

Staff member returns to work

As soon as possible - same day of return preferably

How?

By having a check in/ return to work conversation with manager

Shares the return to work form with HR: hr@simonscotland.org

As soon as possible so HR can keep payroll data updated
