Fountain Walkthrough: E-Verify Integration

This clickable walkthrough will show you the E-Verify submission process in Fountain.

The E-Verify process starts with the employer or Authorized User completing Section 2 of the I-9. In this interactive walkthrough, we will follow the traditional I-9 process where the employer completes Section 2.

The I-9 Section 2 screen will open in a new browser tab. You will first review the applicant's entered information for Section 1.

You will complete all required fields (indicated with a red asterisk). Depending on what you select for the Identity Verification Document, you may also be required to provide a document from List C.

The employee can also provide a receipt for the List A, B, or C document if the document was lost or stolen.

Great! You can see because we selected a Driver's license or ID card which is a document in List B, we must enter a document from List C as well. If we had selected a document from List A, we would not see the List C field to complete.

E-Verify customers can choose to verify these documents over video which is an alternative process authorized by the DHS. If you have used the alternative process, you must check this box when completing Section 2 of the I-9.

Click the empty field to enter the employer name.

Most of the fields at the end of Section 2 may be prepopulated based on how you setup the I-9 stage in Fountain.

The last step is to electronically sign the document. Click the box to sign.

Now that Section 2 is complete, we need to submit the I-9 Form to E-Verify.

The I-9 must be completed and submitted within 3 days of the employee's hire date. If the I-9 is submitted late, you will be required to provide a reason for the delay.

Click the E-Verify: Pending Submission Status Label.

If you do not submit the I-9 Form to E-Verify right after completing Section 2, you will see a E-Verify: Pending Submission Status Label on the Applicant Table or Universal Applicant View.

This will bring you to the same screen you would complete directly after finishing Section 2 of the I-9 Form.

There are other E-Verify statuses that you may see if the I-9 is not authorized because there are issues identified by the DHS or SSA.

In most cases when an employer submits to E-Verify, E-Verify responds with “Employment Authorized” within seconds. When this happens, the E-Verify process is complete. In Fountain, you will immediately see theE-Verify Status Label change from blue to green and it will say Employment Authorized. You are done if you see this Status Label.

Let's explore what will happen if we action any of the blue E-Verify Status Labels.

Click the E-Verify: Unconfimred Data Status Label.

Click Confirm Details.

With any blue E-Verify Status Label, you will also have the option to close the case and resubmit to E-Verify.

With the Confirm Details Status Label, we will update any requested information and submit back to E-Verify.

Click Confirm.

You are also able to mark the case as a duplicate and resubmit.

Click the E-Verify: Photo Match Status Label.

Click Conduct Photo Match.

You must review the photo and confirm whether or not it matches the photo on the document that the employee submitted.

Click the E-Verify: Scan and Upload Status Label.

You will be asked to upload a photo for the appropriate document which will be submitted to E-Verify for review.

Click the E-Verify: Pending Referral Status Label.

First, we will read the Tentative Nonconfirmation message from E-Verify. Then we will download the Further Action Notion to send to the employee.

Click Download Further Action Notice.

This is an example of a Further Action Notion that would need to be sent to the employee. Be sure they understand why they are receiving this notice and the options they have to resolve or decline resolution.

Once the employee informs you of the action they plan to take or if you determine the information orginally submitted was not correct, you will select the appropriate reason at the bottom of the screen.

The E-Verify Status Label has changed to Referred as the employee completes their action.

Please note: You may need to work with your Fountain Customer Success team member to escalate some issues through the E-Verify website directly.
