What are batch renewals and how do they work?
- Batch renewals refers to the process of renewing a large group or batch of renewals within SchemeServe. Renew policies for all customers who are due in a particular month in a single batch process.

- Efficiency and Streamlining:-Time Savings: Batch renewals enable the processing of multiple policies simultaneously, saving time compared to renewing policies individually.-Automation: SchemeServe can handle the renewal process for a large number of policies efficiently, reducing the need for manual intervention.
- Consistency and Accuracy:-Consistent Terms: Batch renewals help ensure that a group of policies is renewed with consistent terms and conditions, avoiding discrepancies.-Accurate Information: Automation reduces the risk of human errors in the renewal process, leading to more accurate policy information
Invite renewals
- Navigate to Admin|Batch Processes|Renewal Invites.
- The date range will automatically have defaulted to the following month – change this date range then select ‘Update’.
- The updated list will show the cases due for renewals on whichever schemes the batch renewal function has been enabled on.
(Having this function on does not default all schemes to batch renewal, it must be selected on each scheme via Scheme Settings).
- If any other status is noted you may wish to deselect the record concerned to investigate the status before renewing it.
- You would expect to see all of these as ‘On Cover’
- The column called ‘Latest Status’ reflects whether the case is a First Premium case or Renewal and it will reflect the current status.
Invite renewals
- By default, all of the risks in the selected time period will be checked with a tick in the final section.
- If you want to invite renewal on all of them, leave everything checked and scroll to the bottom of the page and select the ‘Invite Renewals’.
- A message will appear asking for confirmation and advising that the rules for the Quotation and Pending/Invited statuses will run.
(unless the auto renew option has been manually disabled from within a record or switched off from within batch renewals in a previous year – see ‘Deselecting cases for renewal’)
With the record then being set to a status of Pending/Invited (not to On Cover).

- Any that have failed will show a failure message.
- When all of the renewals have been processed and set to ‘Invited’ the status will show ‘Success’ against all of the records.
- The column to the left of the scheme ID will show a status of Queued/Processing/Success as the batch is processed:
Renew policies
- Navigate to Admin|Batch Processes|Renewals.
- This page reflects all of the records successfully invited. The column called ‘Latest Status’ now shows that the latest record is a renewal (RNL) record and the status is ‘Invited’.
- Clicking on case IDs will open the case in question – the record status would be ‘Invited’ and, if you select ‘History’, you will see the current or previous record.
- If a method of payment is set up on the scheme and successfully collects the premium due the status will show ‘RNL > On Cover’.
- The column to the left of the scheme ID will show a status of Queued|Processing|Success. When processed the status will show ‘Success’ against all of the records.
- If you want to place all of the invited renewals on cover, select the ‘Renew’ button found at the bottom of the screen.
Deselecting policies
- When viewing the list of cases due for renewal you can specify individual records that, as a one off for this year, you do not want to be renewed automatically.
- You can also specify a record that you would like the auto renew function to be disabled on going forward, regardless of the overall batch renewal function set on the scheme as a whole.If you only want to renew one of the schemes at a time, deselect any other schemes that you don’t wish to process right now using the tick boxes on the left.
- Cases can be selected and deselected by scheme or individually. You can select a case not to renew with this particular batch by unchecking the box, then selecting the ‘Invite Renewals’ option to invite renewal on the other records.
- The remaining records will process successfully and can subsequently be viewed on the ‘Renewals’ tab.
- If you then want to stop this record ever auto renewing, you can check the box and select the option ‘Set Do Not Auto Renew’.
Note – in future years this record will still appear when you initially run the batch renewal process, but it will be shown in the list as unchecked – this gives you the option to easily add the option to auto renew back onto the record should you wish.
Errors
- A log is produced after a batch renewal is run which often pinpoints the source of the error Navigate to the Batch Processes admin area and select the 'Process Logs' option, then select the batch with the error:
- View the log which should help narrow down the issue such as a formula not having a suffix:([Policy_Ex_CarValue_Cover]*0.6)-([Policy_xx_ContentsValue]([Policy_Ex_CarValue_Cover]*0.6)-([Policy_xx_ContentsValue_Cover]Many formula errors are because _Cover or _Value are missing - if a system ID is being used on a standalone basis those suffixes are not usually necessary, but when used in a formula in a rating file, document, report or rule condition the suffixes must be used.

Will cases that have a claim logged on the claims screen renew?
If the auto-renew box is ticked, a record with a claim will still appear in the batch renewal list but the tickbox in the first column will not be ticked - a user would have to manually check this box prior to selecting the 'Invite Renewals' option for the renewal on that case to be created and invited.
Is their a function to requote a renewal within that renewal record?
Navigate to: scheme settings - general - renewal requotes - enable 'Create new record within current case'.

How do we deal with an MTA not taken up?
Discard the MTA that is not required then refresh the batch renewal list and the record will be seen with the tickbox in the first column ticked (unless the record to be renewed has previous referrals that haven't been cleared, or claims recorded on the Claims tab of the record).
