PTO Requests
We all deserve a vacation and days off! At Hilco, we strongly encourage you taking the time you need to maintain a healthy work-life balance. Our hourly team can accrue up to 3 weeks a year and our salary team have unlimited PTO, plus the entire company has about 1 week of paid holidays throughout the year. For more information about our PTO, check out the policy in your employee manual, or bookmark it on your computer by clicking the button below.
PTO Policy
The most important part about PTO requests is communication. To start the process, you'll enter your request into your workforce app by selecting Time Off.

Currently, we don't have any requests entered. To create one, slect the + icon in the bottom right corner.

This list shows your current balances. As an hourly employee, you'll automatically start with 24 hours of Paid time off called Sick Time. Don't let the name fool you, use this however you like, we won't judge. Paid time off will show your current accrued time for hourly employees. For salaried employees, you'll see how many hours you've taken off so far this year. Holiday pay is applied by administrators for company paid holidays. You won't need this option. Select Paid Time Off to create your request.

From our Time Off Request form, we can a select Add Day to start adding hours to our request.

We've added the day we'd like to take off, added a note for our supervisor, now we can select Save to submit our request.

Great news! Our PTO request has been approved! Let's add it to the company's Master PTO Calendar to make it official (don't mind me being a time traveler).
The Master PTO Calendar is a great place to check before you submit requests as you're planning your vacation time. Here you can see who already has time scheduled off so that we can all communicate and ensure our projects have enough coverage. To add our PTO, select anywhere on the day we have approved off.

Add a title to our event. This should include your name and PTO so people understand that you won't be available this day. Click Add title.

Click on the Day and time to edit.

Select All day.

Ensure the Event option is selected so that you can attribute this to the correct calendar.

Under the calendar options, select Master PTO Calendar.

Finally, select Save.
You're almost ready for vacation!
The final step is collaborating with your team to ensure all of your duties are covered. Make sure to set up a meeting with anyone that will be covering for you and your supervisor to coordinate all tasks that need to be handed off and pass along any important information the team may need while you're gone. Make sure you communicate with the appropriate external subs, vendors and clients that you work with to let them know that you will be out and who they can contact in the meantime. It's a good idea to include this information in your vacation responder email. Lastly, go through and ensure your expense reports are up to date, all of your projects have been properly updated in Procore and all items on your task list have a new assignee till you return. Now you can go enjoy your vacation stress-free!
Remember!
The next step of submitting a PTO request is sending your supervisor an email letting them know that you are submitting a request. Requests should always be submitted via email, not on the phone. That way everyone has a written reminder of your request. Click Send on your email to continue.
