Authorised Absence Guidance

With supporting evidence for a reason from the acceptable list for authorised absences, please review the below to ensure that the evidence is also acceptable.

Travel Delays

For a course or event for work experience, evidence must include confirmation from the organiser that this is linked to the learner's course. The learner's name and the date of the request must be clear. For work experience, confirmation from the tutor that this has been organised through the college will suffice.

Without evidence, do not submit an authorised absence request to be reviewed.

For travel delays/cancellations/strikes the learner must provide examples of the following 1) Confirmation that the journey takes more than an hour longer than usual, being not less than 90 minutes in total (a screenshot from journey planner on Google Maps will suffice) 2) Confirmation that the journey costs more than twice as much as usual, and not less than £5 (a screenshot from a taxi app will suffice) 3) Confirmation that there are no other alternative methods of travel from their home address to their centre ( a screenshot from journey planner on Google Maps will suffice)

Please do not accept or upload

  • Photographs of travel boards where a train/bus, etc is cancelled.
  • Confirmation of strike action.
  • Screenshots of cancelled trains/buses from an app, etc without supporting evidence from 2 & 3.

This must be related to the learner's course. Please do not accept or upload requests for any job interview that does not fall under this criteria. Please ensure that the learner's name, the date of the request and the institution where the interview is taking place are clear.

The evidence must be an example of one of the following - Doctor’s Note, Appointment Confirmation or Fitness to Work Statement. Photographs of medication, prescriptions, physical proof of the ailment are not acceptable. Please do not accept these from the learner and do not upload the request.

  • With evidence, as long as the request is on the list of acceptable reasons for Authorised Absences, you can submit a request for a learner.
  • The Guidance is linked above.
  • Please ensure that the evidence matches the date of the request and falls within what has strictly been set out in the criteria by Frank Morrow.
  • If the evidence does not match what is required for the reason, do not submit the request. Relay this to the learner and request the correct evidence.

The evidence must clearly show the learner's name, the date and where this is taking place.

An Authorised Absence can only be granted for the funeral of a close relative (not including travel time one day maximum).We can accept confirmation for who the funeral is for from yourselves in this instance. Requests for compassionate leave/berevement can only be requested with a doctor's note and cannot be submitted without one.

Please review the required evidence for these requests on Frank Morrow's Guidance, linked above. We have also broken down each request here and provided further details if needed. Without the required evidence, a request must not be submitted and the learner informed as to what is required.

We can accept confirmation of this from yourselves. Please only submit this request if you have confirmed that the learner has attended their GCSE Resits with Access Creative College.

The evidence must clearly show what the institution is, confirmation of the date and that it is addressed to the learner.

Birthdays or similar celebrations Sleeping in A leisure activity Part-time work or interviews for a non course related job Holidays or driving tests Rehearsals or gig that is not for charity or directly linked to the learner’s course Illness without a sick note On-demand exams at other Centres which can be arranged for a date/time when not due in College

This cannot be submitted for review.

The evidence must clearly show the learner's name, the date and where the appointment is taking place.

Please confirm the observance and/or festival when submitting. Confirmation of the event from the Centre is adequate in this instance.
