Writing Workshop Request Letter

Introduction

Requesting letter
Last week, we learned how to place an order of materials for the office. In this session, we will learn to request a service and how to answer those letters to confirm the information. When you send a letter requesting a service, you must give detailed information so the provider can give you complete and accurate response. If your letter isn't detailed, you may have to write it again to explain the information.

First, let's review some writing elements

Correct punctuation adds clarity and precision to the writing. It allows the writer to stop, pause, or give emphasis to certain parts of a sentence.

It lets the reader know a sentence is begining. It also shows important words in a title, proper names, official titles and more.

The body of the requesting letter generaly has four parts:

Opening Practice

1.In the opening of your letter, you explain why you are writing. There you have to make specific reference to a previous conversation. Prepositions help to be more specific. Let's practice.

2. In the focus, you have to let the provider know what you need. Be clear and exact as possible.

3. Here, give a time limit for some action to be done. You promise to do something or ask the recipient to do something. You must be specific and polite

Closing

4.Mention some additional information, a phone call, a letter, a fax, or an e-mail. Use I look forward.

Confirming a service or request

Some tips for confirming

Click on the letter and identify its parts.

When you send a letter confirming a service or request, you have to restate all of the details. The recepient needs to know that you understand the information and will fulfill the request accurately. Before you write the letter, review all the information. If necessary, contact other people in your company who are involved. Ask them if they have something to add. Make a list to organize all the information.
