Organizing the Presentation

Make it easy for your audience

Organizing the presentation is the most important step in creating a presentation.

Introduction - include an attention getter to hook your audience's attention. You want to compel them to listen.

Body - select three (3) main points that are organized in a way for the audience to understand your topic. Use supporting evidence/information for each main point to provide additional necessary information for that point.

Conclusion - briefly summarize the main points presented in the body. No NEW information should appear in the conclusion.

Presenting with Visual Aids

Your presentation should include visual aids, slides or props to reinforce your message. Here are some helpful hints for using visual aids.

1. Select only visual aids that enhance the clarity of your message. Be choosey. Pick wisely. 2. Speak to your audience not to your visual aid or the screen. This is hard! 3. Reveal your visual aids when you talk about them; put them away when you are finished. 4. Practice with your visual aids until they work smoothly with your speech. 5. Design visual aids so they can be understood within 3 seconds. 6. Keep your visuals simple: Remember the KISS principle! 7. If you have to present text to your audience, give them time to read before you talk. 8. Be ready to speak without your visuals…what’s your Plan B?

Using visual aids during a presentation or training session

Why use visual aids?

  • Summarize information
  • Show information rather than speaking the words
  • Clarify and show examples
  • Create an impact - images
  • Emphasize what you're saying
  • Make a memorable point
  • Enhance your credibility
  • Engage the audience and maintain their interest
  • Make a point/information easier to understand

Preparing your visual aids

  • Consider how can a visual aid can support your message. What do you want the audience to do?
  • Ensure that your visual aid follows what you're saying or this will confuse the audience.
  • Avoid cluttering the image as it may look messy and unclear.
  • Visual aids must be clear, concise and of a high quality.
  • Keep the style consistent, such as, the same font, colours, positions etc
  • Use graphs and charts to present data.
  • The audience should not be trying to read and listen at the same time - use visual aids to highlight your points.
  • One message per visual aid, for example, on a slide there should only be one key point.

Using visual aids during the presentation

  • Ensure that the visual aids can be seen by everyone in the audience.
  • Face the audience most of the time rather than the image.
  • Avoid reading from the visual aid.
  • As soon as you show the visual aid the audience's attention will be drawn to it so you must immediately explain it. You will be ignored if you talk about something else.
  • Make it clear to the audience why you are using it.
  • When you no longer need the visual aid ensure that the audience can't see it.
