Queensland Health Information System for Oral Health

After considering the research question and you believe ISOH data is appropriate, undertake the following steps:

  1. Draft proposed research question and research governance pathway
  2. Create a draft patient inclusion exclusion criterion, dataset template and data dictionary
  3. Send email request to the OCDO data custodian with;
    1. Research question
    2. Research governance pathway
    3. Patient inclusion and exclusion criteria
    4. Dataset template
    5. Data dictionary
  4. Book a 30-minute meeting the data custodian of OCDO to finalise data dictionary. The OCDO data custodian is typically available within two weeks for an initial query.
  5. Gatekeeper approval granted by data custodian and other research governance process (research agreements, HREA, SSA, PHA as required) can proceed to be obtained.
  6. Following required research governance approvals, notify the data custodian to release the data. Note: Release of the data can take approximately two months and will not occur during the months of July and August.

Information System for Oral Health (ISOH™) is a client-centric integrated system that supports the services delivered by public dental clinics. ISOH is a windows-based system that handles client administration, invoicing, outsourcing, appointment scheduling, wait listing, treatment recording, document management and file tracking, and reports. The Office of the Chief Dental Officer (OCDO) are the Data custodian for the Information System for Oral Health. Any research related requests for use of ISOH data must be undertaken in consultation with OCDO. Prior to contact OCDO consider the research question and if ISOH data can answer the question. The innovation and research team can assist in developing a research question that is specific, measurable, achievable, relevant and time-bound (SMART). Commonly requested data from ISOH are published here: Information System for Oral Health It is not recommended that honours-level projects propose to use patient-level identifiable heath service data, due to the extensive time required to obtain research agreements, ethical approvals and PHA approval. Consult with the data custodian if there is an aggregate and de-identified format the data could be request in.
