What is the QM process?

Institute Quality Review (IQR)

Remote Teacher Assessment

Institute Assessment

The Quality Management process at Ceibal en Inglés (CEI) includes two key components: the Remote Teacher Assessment and the Institute Assessment. Together, they form the basis of the Institute Quality Review (IQR), a process grounded in evidence and conducted with objectivity, fairness, and transparency.

The CEibal en Inglés Qm team

Quality Managers (QMs) monitor and audit Ceibal en Inglés (CEI) lesson providers throughout the academic year to ensure the consistent delivery of high-quality teaching across the programme. All procedures and criteria involved are clearly detailed in the CEI Handbook.

Each institute is assigned a House QM at the start of the year.

QM Observations are unannounced

QM Observations may be recorded or take place from the institute or the school.

After the QM Observation, you, your Institute Coordinator (IC), and the Quality Manager (QM) will agree on a date and time for the feedback session.

Action Points and Follow-Up

At the end of the feedback session, the Quality Manager defines the action points, based on the observation and your self-reflection. However, the process is collaborative—action points and the level of support are open to discussion and agreement with both you and your Institute Coordinator. Once defined, these action points must be recorded verbatim and implementation should begin immediately—there’s no need to wait for the written report. Your IC will support you in putting these points into practice. In some cases, a follow-up observation may be arranged to confirm that sufficient progress has been made. Timely and consistent follow-through is essential for continuous improvement and programme quality.

🕒 Who Will Observe You and When?

The House Quality Manager (QM) shares a list of Remote Teachers scheduled for observation with each Institute a month in advance. When the observation takes place, it will typically be conducted by the QM assigned to your institute. However, in some cases, the observation may be carried out by the Quality Assurance Manager (QAM) or another QM if the House QM is unavailable.

👀 How Observations Happen

1. At your Institute (TP), the QM will arrive a few minutes early to quietly set up in the Teaching Point without being seen by the class. 2. At a school, The QM will greet you before the lesson begins and make sure you’re aware of their presence. 3. If the observation is recorded, you’ll be notified 48 hours in advance so you have time to inform the Classroom Teacher (CT/CTE). Find the QM Observation Instrument used by QMs in the CEI RT group in CREA.

💡 Preparing for the Feedback Session

To prepare for the feedback session, you are expected to complete the Post-Observation Feedback Guide, also available in the CEI RT CREA group. This reflection tool helps you think critically about your teaching and contributes to a more meaningful discussion during the session. Feedback sessions last 45 minutes and must take place within 5 business days after the QM Observation has taken place. Use of CREA may also be discussed. Find the feedback guides in the following link. At the end of the feedback session, you, your Institute Coordinator, and the QM will agree on clear action points and the level of support needed. These should be recorded verbatim—word for word—and it’s essential to start working on them immediately to ensure timely progress.

📄 The QM Observation Report

The formal QM Observation report documents the lesson analysis, key feedback points, and agreed action items. This report is sent to your Institute Coordinator within four weeks of the feedback session. The report serves as a reference to support your continued development and track progress.
