How to check if a vehicle is available?

Weekend Reservations:

1. Open Availability Sheet (also found by Connectors) 2. Go to the week the customer wants to reserve, 3. The vehicles that are marked yellow are reserved, and the white ones are available,

check Rent Centric.

Weekday Reservations:

  1. Log into Rent Centric
  2. Enter the requested dates
  3. Select the vehicle type from the dropdown
  4. Click Search
  5. By the Vehicle Status column, check to see which cars are availcble.
Please note: Customers can only choose the type of vehicle; they can't chaose a specific make or model.

check Rent Centric.

When there are no available vehicles, we could add the customer to our cancellation list and welll notify ther if anything becomes available.

Rates

How to calculate rates?

  1. Open the Availability & Rates Sheet (also found by Connecters)
  2. Rates are divided by vehicle type. Find the vehicle the customer requested.
  3. Calculate according to how many days the reservation has.

Availability & rates.

Prices are valid for a month going forward. For reservations that are more than a month away, ask on Miracall Solutions Slack to see if the rates will be the same.

STEP #4: Disposition the call

  1. Open Rent Centric
  2. search availability
  3. click reserve
  4. Go to the customer tab, and fill in the starred fields. Click ‘Save and Go to Reservatien Tab’ at the bottom of the page.(Returning customer, skip to step 5.)
  5. Click on the search icon to the right of the ‘First Name’ field. Fill in the customer's last name or driver's license number, and press Search.

  2. Dispasition New Reservation
  • Please note: New customers are required to have their license and credit card on hand when making a reservation.

Cancel Reservation

STEP #1: Check if it's still within the cancellation policy.

STEP #4: Disposition the call

  1. Fill out the worksheet in Five9
  2. Disposition Cancel Reservation

STEP #2: Cancel the reservation in Rent Centric

  1. Pull up the reservation in Rent Centric by going to the Reservations tab > enter the number > click Search.
  2. Click Cancel Reservation
  3. Enter the cancellation reason (example: change of plans)
  4. Hit Save.
  5. If applicable, charge the customer's card while he's on the line.

check Rent Centric.

STEP #3: Remove the reservation number from the Availability Sheet .(For weekday reservations, skip to step 4)

  1. Find the reservation on the availability sheet and delete the number.
  2. Add a comment on the cell with which reservation number was canceled.

Change Reservation/Rental

Can I extend my reservation?

STEP #1: Check Rent Centric to see if the vehicle is available to extend.

check Rent Centric.

  1. Select the dates in Rent Centric
  2. Enter the vehicle number of the customer's reservation.
  3. Click Search
  4. If the vehicle is available, open the original reservation and extend the dates.

STEP #2: If the vehicle is not available, there's one more way to see if we can accommodate the customer.

Check if there is a different vehicle from the same category available for those dates. (Search the dates and category type without putting in a vehicle #.)

  • If there is a different vehicle available: Tell the customer that were extending his reservation and disconnect the call. Then contact Zoom Car Rental to see how to record it in the system.
  • If there isn’t a vehicle available: tell the customer "Sorry, were fully booked".

General Info - Garage Closed

Sometimes when the weather outside is very cold, the garage gate will be closed, but that doesn’t mean that Zoom is closed. Customers should call when outside and they'll open the gate.

Payment Policies

Holds

Every reservation must have a working card on file that we can put on hold for $250. When a customer takes out the car, a hold is placed on the credit card for security and insurance reasons.

  • The minimum amount for a hold is $250, If the reservation is more than $250, the hold will be more, because the hold has to be at least $50 more than the total.
  • Holds are removed automatically 3 days to a week after the car is returned.
  • If the customer doesn't keep shabbos, the hold will be $600 for a car and $1,000 for SUV or MV.

We accept cash as a form of payment. However, we also need a credit card on file for the $250 hold.

Checks

We accept checks as a form of payment. It should be made out te Key Car Rental. However, we also need a credit card on file for the $250 hold.

What is an additional driver?

If I bring the car back late, will there be a fee?

If I rent a car and want to let someone else drive, then he must be added as an additional driver so that his name is also on the reservation,

  • Cars and 5-passenger SUVs: $10 for every extra hour
  • 7-passenger SUVs and minivans: $15 for every extra hour

Underage Policy

  • Both drivers must be at least 19 years old.
  • We need both drivers’ signatures, they can either come down to the garage or we can email the form.
  • There will be a $5 charge per day (For a weekend, it will only be $10, since we don't charge for Shabbos.)
How old do I need to be to take out a car?

If you're 19 years old, you can take out a car, but there's an underage fee. (Even if you're just an additional driver.) If you're 20+, there is no fee.

What is a temporary licence?

After passing the driving test, you get a piece of papaer that serves as a temporary licence until the card arrives in the mail.

Can I rent a car with a temporary licence?

Yes, but you must bring along your permit.

  • Weekend Reservations - If the customer doesn't keep Shabbos, charge him the weekend rate plus an extra weekday,since he'll be driving the car for 3 days instead of 2 days.
  • Must have a valid credit card on file.
  • Hald will be $600 for a car, and $1,000 for any other vehicle.

How much mileage do I get?

When does Zoom take care of a ticket, and when is it the customer's responsibility to take care of it on his own?

The ticket goes onto the customer's name and he is responsible to take care of it.

If it's a parking violation, he can bring in the ammount of the ticket in cash and we can take care of it for him.

Accident Policy

When does Zoom take care of an accident and when is it the customer's responsibility to take care of it on his own?
Is there a fee if I go over the allotted amount?

Yes, it will depend on the vehicle type:

It depends if the car is driveable.
  • If the car is drivable, the customer should bring back the car to the garage. He'll need to fill out a report when he brings back the vehicle.
  • If it’s not driveable, transfer the customer to Mr. Kraus.

E-Z Pass & Toll

GPS

Do you rent a GPS or Waze device?
Does the car come with an E-Z Pass?

Yes. A GPS could be also rented separately, without a car.

No.

Pricing:

Customers can use their own E-Z pass and get billed directly. Or they can drive the car without an E-Z Pass and Zoom will be billed, and then pay up when they return the car.

  • Regular GPS is available for an additional $5 per day.
  • Waze is available for $10 a day, $15 for the weekend.

How to see the details of a toll charge - the when, where, and amount of the charge

  • Ifa customer wants it for the same day, check availability on Zoom Slack.
  • Ifa customer wants it for a later date, add a note in the reservation, but tell the customer we can’t promise to have it, if it’s available that day he could have it.

Do you have car seats available for rent?

Yes.

Pricing:
  • $10 per day
  • $15 for 2 days

  • If a customer wants it for the same day, check availability on Zoom Slack.

Insurance

Every reservation needs insurance, There are two ways to have insurance:

Option #1

The ideal way for customers to have insurance is with an active Credit Card that has insurance. Known cards that don't have insurance:

  • All Discover cards
  • Citi
  • Bank of America / Bank of America Cash Rewards
  • Capital One
Option #2

The second way to get insurance is to purchase it separately.

  • Only for heimishe customers
  • Insurance could only be purchased for mid-size cars, full-size cars, 5 pass SUVs or Pacifica minivans. For a 7 passenger SUV or Minivan, one must have insurance through a credit card
  • It costs $20 per day and customers should purchase it at the office when picking up the vehicle.

What is covered by insurance?

  1. When a customer has insurance through their credit card, only Zoor’s car is covered.
  2. When a customer purchases damage insurance (regular), only Zoor’s car is covered.
  3. There is an option of buying insurance for $20-$25 a day which covers both cars.

Pickup / Dropoff

Policies

  1. There is an additional $10 charge for Sunday pickups.
  2. Vehicles must be returned to the location they were picked up from.
  3. Vehicles can only be taken out during business hours. They can be returned when we're closed if:
  • Must be on a legal parking spot (can't block Zoom driveway)
  • Must be on Spencer Street
  • The key must be in the drop off box
  • Needs to call in to let us konw and speak with someone (can't just say | called and no one picked up) - we will consider it not returned until we get a call.

  • Location where the vehicle was dropped off
  • Payment method

4. Friday drop-off cannot be after 9:30 AM - 10:00 AM because the cars go out at 10:30AM for the weekend. No exceptions.

How to find a reservation in Rent Centric?

  1. Open Rent Centric, found by connectors
  2. Hover over the Reports tab,
  3. From the dropdown, hover over Customers.
  4. Select Payment and Charges.
  5. Enter the Transaction Date
  6. Enter the customer's first & last name.
  7. Click Generate. The charge should come up.
  8. Check the Payment Detail to see if it was a toll charge.
  1. Open Rent Centric (also found by Connectors)
  2. Click on the Customers tab at the top of the page. Alternatively, if you have the reservation number from the customer's call history, go to the reservations tab and search the number.
  3. Click Seach Options and more fields will pop up.
  4. enter the customer's phone number and drivers licence number.
  5. Once on the customer's profile page, click reservations.
  6. Click on a reservation number to open the reservation.

  1. Pull up the reservation in rent centric.
  2. Click Additional Drivers
  3. Click Add New to add a new customer, or click Search if it's an existing customer.
  4. Enter the additional driver's info and press Save, or search for the customer and select it.

How to make a change to a reservation or rental?

How to email the Rental Agreement or Invoice to a customer:

  1. Pull up the reservation in Rent Centric
  2. Click edit.
  3. Update the return Date. For a Rental, also update the Expected Return.
  4. Add a comment with the reason for the change by Change Reason.
  5. Press save.

We can only email an invoice once the reservation is a rental, meaning that the car was picked up.

  1. Pull up the rental in Rent Centric
  2. Click Email Agreement/ invoice
  3. Enter the customer's email address.
  4. Press Email

How to see how much gas the car had when customer rented it?

  1. Pull up the reservation in Rent Centric
  2. Click Payments/Charges.
  3. Choose the Payment Method.
  4. Enter the amount.
  5. Change the Transaction Type to Payment instead of Authorization.
  6. Select a credit card from the drop-down.
  7. By payment Detail Cont, write Cancelation Fee.
  8. Click off the box Process Credit Card.
  9. Press submit.
  1. Pull up the Rental in Rent Centric
  2. Click Print Rental/Invoice. Then Click Print. When printing options pop up, click Cancel.
  3. In the Unit Details section, you'll see ‘Odometer Out’. That's the amount of gas the cor had when the customer rented it

Charge Deposit

When making a Pesach reservation, we need to charge the customer a $45 non-refundable deposit.

How to charge the card successfully:

  1. Create a new reservation.
  2. Confirm which credit card to charge.
  3. Enter the amount ($45).
  4. Change the Transaction Type to PAYMENT, it is Very important to change it to payment because if it stays Authorization, the card doesn't get charged.
  5. Check off the box ‘Process Credit Card’.
  6. Click submit.

Steps 4, 5 & 6 are very important because without them, the credit card doesn't get charged.
