Module 2- Prior to the Meeting

IF there are any training restrictions within the 'Warm Handover' or 'Participant notes' then you will need to speak to the Single Point of Contact (SPOC) to indentify these restrictions and then find a way to best accomodate these. If the SPOC has not been made aware of any restrictions then they will need to get in touch with the Serco SPOC to indentify these prior to the Initial Meeting taking place.

Before the meeting takes place we need to ensure we review the participant record. This is so that details captured during the Warm Handover have been taken into account as we may need to make adjustments to our plans accordingly.

Module 3

Module 3 - If the participant attends.

We must be checking to make sure we have the correct participant by confirming personal details on the referral, preferably details that wont be available to others such as paperwork confirming NI or address. To ensure the check is satisfactory you should check atleast two pieces of information. Once we are satisfied with these check then we must upload details such as serial numbers from the documents we have checked.

We must give a compliance pack to the participant during this meeting, click on the button below to see the contents:

Info

Module 3- If the participant attends.

Ensure that you check that the participant hasn't started employment since the Warm Handover, if they have started employment then we will need to start a 'Did Not Start' tracker. We must deliver a video overview of the scheme and what will be offered throughout the participants journey. At this point you could register them to Jasper, when doing this you need to consider any required IT support. The Job coach should be making it clear to the participant we will not be asking for bank details and to report any instances of this.

An 'Induction Checklist and Expenses Declaration' must be filled in and signed by the participant to confirm they have read the information, from this it will be signed and dated by the JC and uploaded to Aptem. When uploading this to Aptem ensure you select the participants preferred contact method.

Module 3 - If the participant attends.

When completing the initial meeting on Aptem we must ensure that the day we complete the IM is shown as the actual day of completion so this can be reported. At the end of the appointment you should book the next review. After every meeting any documents and recorded should be updated and uploaded to Aptem within 24 hours of this taking place.

Module 4 - If the participant doesn't attend

If a participant fails to attend an Initial Meeting you should atleast attempt to make contact and establish the reason for not attending the IM, We should check the participants well being and ensure their circumstances haven't changed. After this we will have to rebook the IM in for another suitable time. If they fail for a second time we will have to call them again to understand the reason for not attending and if there is no 'good cause' you may have to look at the mandating the third appointment. If we can establish a 'good cause' then you will just rebook the appointment following the previous steps without mandating the participant. Finally where the participant does not attend for a third time you will need to mandate them and potentially raise a 'Compliance Doubt' and continue sending invites. Following 30 days of the participant not attending they will be recorded as a 'Did not start' in Aptem, you must also inform the DWP of this outcome.
