Booking Tests and Case Studies for Learners with Additional Learning Needs
Does the learner require access arrangements or reasonable adjustments to be made for their test or case study?
All learners with additional learning needs that require access arrangements or reasonable adjustments will need to sit their test or case study on a 121 basis. They cannot be booked onto Bookwhen as these sessions are for groups and are not able to accommodate access arrangements.

A copy of the approval confirmation is also uploaded to the ALS tab on Smart Assessor so you can also check here if the learner has been approved for the access arrangements. You can book the learners test or case study on Bookwhen as normal, please state in the ALN section that the learner does not require Access Arrangements
If your learner requires Access Arrangements, they will need to be applied for and approved before you book the case study or test. Please complete an ALN Referral Form on SA if one has not already been completed. The Essential Skills Specialist TC may have already completed one and you can check this by looking at the ALS Tab on Smart Assessor. If it has been completed it will have been uploaded there. When you have received confirmation that access arrangements have been approved you can book the test.
To request the case study or test complete an ALN Test Request form on Smart Assessor. (Once you have set up your visit, go to “Files, select “General” and you will be able to request the form from the drop down menu. Please ensure you give enough notice when requesting a test/case study. This is slightly longer than booking via Bookwhen so that arrangements can be made. For ALN testing and case studies this is: Case study with PRCS being issued – 3 weeks MCQ Tests & case study resits – 2 weeks. All paper tests require 4 weeks notice. For workplace testing you will also need to follow the extenuating circumstances guidelines and complete the form that is required for this.
Once the ALN Test Request Form has been received you will be contacted by the ALN Invigilator to arrange a date for the test/case study. Once a date is arranged, they will book a room in Gateway, arrange any equipment needed and inform the Qualifications Coordinator of the arrangements who will then book the test or case study. Paper case studies and invigilation paperwork will be returned to Gateway/Invigilation team after testing and arrangements for results will apply as normal.
