Your Induction Plan

Your manager will share with you your personalised induction plan on Day 1 (you may have these meetings already in your diary!) so you will know who you are meeting, their role title and when and where to be.

You and your line manager will also discuss specific objectives, how you will work together successfully, our values and anything either of you think is relevant to ensure your probationary period and induction into TEDI-London runs smoothly.

When do I get paid?

2022 Payroll Schedule

You will normally get paid on the 28th of every month or the Friday before pay day if there is a bank holiday or the 28th falls on a weekend day. You will be paid earlier in December and January.

Payroll cut off is 18th day of each month. Should you be joining after the 18th of the month and require an interim payment please speak to Jaz who will be pleased to sort it out for you.

Booking Leave

We use Timetastic to book our leave which will send a message to your manager with the leave that you have requested. It will also show you how much leave you have left each year.

How do I access training and development?

We have a budget for learning and are committed to our people and their personal development. Please discuss what is required with your line manager who will then be able to facilitate through the People team. During the year there will be face to face or online learning modules for you to complete such as values and behaviours, dignity at work and unconscious bias. All employees who are invited to these sessions are required to attend and actively engage.

How to Teams

Click on the instructions below for scheduling a meeting in MS Teams.

You can do it via Teams

You can do it via Outlook

You can then join the arranged meeting – communicate / share documents as appropriate.

You can start ad-hoc meetings / and calls in Teams from Chat or any Channel by clicking on the camera icon "Meet now"

Zoom accounts are free for meetings up to 40 minutes.

We have a premium account set up via the links here.

Do beware that more than one meeting cannot happen at once. You can check this by looking at ‘My meetings’ to check a meeting is not taking place at the same time that you are scheduling one for.

Our staff need to choose TEDI-Faculty WiFi network, and login with their normal TEDI-London username (T-number@tedi-london.ac.uk and password). As an alternative, they can temporarily choose TEDI Guest, enter the password: t3d!L0nd3N and then click the yellow button on the initialisation web page that will automatically load in their default browser.

How to view colleagues' diaries

Follow the instructions to add your colleague's calendar for you to see:

Select 'Add Calendar'

Choose 'From Address Book'

Find the colleague's name whose diary you would like to add.

Document Management

In line with our Cloud first approach and to ensure the security of our documents please be advised that TEDI-London documents should only be stored in the M365 cloud. Ensure that all documents are stored as applicable on:

Please do not store any documents on:

Local drives on your personal device

Your own Cloud storage

Documents stored on your personal device within the M365 applications are fine.

Please ensure that you do not email yourself documents to your own personal email address.

TEDI-London Policies

All our people policies are contained in the directory linked here.We encourage open discussion and they are our policies as employees so if you spot something that doesn’t sound right or you find doesn’t quite work, feel free to let the People team know and we will soon get it updated for the benefit of all of us.

Single Status - What does that mean?

Our aim is to create a vibrant community of staff and students who work and study together seamlessly.

Our terms and conditions of employment do not differentiate between grades or roles; all our employees are of equal value and are expected to be treated in line with our values at all times.

How do decisions get made?

We have a Board, consisting of members of our Partner Organizations, Arizona State University, King’s College London and UNSW Sydney who meet once every three months.

Papers should be submitted to our Executive Group 10 days before the meeting.

Our Executive Group consists of:

Exec. meets regularly and if you need a decision or a discussion on an issue that has wide application for TEDI-London, send it to the Executive Assistant once you have done the relevant stakeholder management.

We are a small and agile organisation so urgent matters can be raised via email in between the diarised meetings.

What is my probation period?

Probationary Period Policy

All employees are subject to a 6 month probationary period.

You should ensure fortnightly one to ones are diarised with your line manager which will discuss your wellbeing, your development, current objectives and any barriers to success.

We operate an Employee Assistance Programme and telephone helpline, as well as access to Occupational Health Services which are outsourced.

Introduction

The Universities and Colleges Employers Association (UCEA) and the trade unions (Unison, Unite, GMB etc) have issued a joint statement (Appendix 1) with the sole intention of protecting staff and limiting the spread of the Coronavirus, Covid-19.

The joint statement gives a great deal of weight to the use of lateral flow testing, by all staff, even those who have had two vaccinations. There is also a focus upon ensuring those who have symptoms of Covid-19 being aware that they should stay at home and self-isolate without fear of being reprimanded or being treated unfairly by employers.

Introduction

We have always advised TEDI-London employees to self-isolate, and being an agile organisation, our employees have always been able to work from home as required.

However, now we are able to physically work and study at our Canada Water Campus, a Campus Guide has been created and is updated on an ongoing basis to ensure everyone knows their role in restricting the spread of the virus, the level of support available from TEDI-London and to answer any questions that you may have.

Our procurement system is being worked on regularly to allow approval and purchase of items key to your role.

I am a member of a professional organisation, do you pay for my membership?

We will pay for one professional membership such as IET, CIPD, CIMA etc. Please ask your Manager if this is something that you would like to pursue.

If I am feeling poorly, what should I do?

We offer a generous occupational sick pay scheme once you have completed one months service with us. Please ring and speak to your line manager ASAP if you are feeling unwell, or text in the first instance and arrange to speak later in the day. We do not encourage colleagues to attend work if they are ill.

What do I do if I need further support?

Your line manager should be your first port of call, although you will find colleagues are helpful and willing to assist if you are struggling with anything.

Are there any coffee and tea facilities?

There are lots of shops within Canada Water and we provide milk, coffee, tea and sugar which you can use when you wish. You are not asked to contribute to this.

You will also find your colleagues often bring in pastries and other nibbles for the team to share.

Is there somewhere I can take a smoking break?

No Smoking Policy

We have a non-smoking policy that is operational in our campus in line with the requirements of our Landlords, The Printworks, which can viewed here. However, there are designated areas where you will be able to smoke and these are clearly marked out. Please ask Sarah Whittaker-Gilbey if you are unsure where these are.
